Job Summary
The Office Coordinator coordinates and administers the financial and data processes of the International Education Center (IEC) in support of the Study Abroad and International Student/Scholar programs at Georgia College & State University (GCSU), while also maintaining front-line customer service/reception.
Responsibilities
Bookkeeping and Financial Management - 50
-Manage faculty-led Study Abroad (SA) program budgets, and receive, process, and track student deposits, and cash, credit card and tuition payments for Study Abroad courses/credits, plus International Student Club activities.
-Process and issue refunds as appropriate and as directed.
-Payments to vendors and providers
-Submit invoices to be paid
-Record invoices paid/payments.
-Reconcile all SA program funds monthly, with weekly written reports to Assistant Vice-President (AVP), International.
-Work with GCSU financial offices on all SA and International Admissions financial matters.
-Prepare SA faculty contracts for review by AVP, distribute contracts, and process required paperwork.
-Receive and prepare SA faculty travel authorization and cash advance/reimbursement requests for review by AVP.
-Process same upon approval
Administrative Support - 25
-Anticipate and provide unit-specific and general administrative support to the unit, including communications, mail, event support, and calendaring.
-Distribute AVP's staff meeting agenda.
-Assist International Admissions staff with records filing and maintenance.
-Process purchase orders.
-Receive and prepare GCSU faculty-led SA proposals for review.
-Enroll students in STEP and insurance programs.
-Register students in Banner courses created by SA staff.
-Process documents to be reviewed by Legal Affairs and Academic Affairs.
General Office Management and Reception - 20
-Greet visitors and answer general questions, referring to staff as necessary.
-Answer office telephone(s) and email.
-Ensure that IEC facilities are kept tidy, safe, well-maintained, and present a professional but warm and inviting environment for students, faculty, staff, and visitors.
-Maintain and anticipate supplies inventory and needs.
-Place orders for supplies and verify receipt of same.
-Oversight of unit's central printers and photocopier.
-With input from AVC, recruit, hire, train, and supervise student workers.

-Other duties as assigned.
Required Qualifications
Educational Requirements
Associate's degree, OR an equivalent combination of education and experience.
Other Required Qualifications
- Experience with MS Office applications, including Excel.
- Familiarity with computerized financial and data management systems.
- Strong bookkeeping skills.
Required Experience
At least three years of relevant experience.
Preferred Qualifications
Additional Preferred Qualifications
- Very strong bookkeeping skills
- Experience with computerized financial and data management systems.
- Solid experience using MS Office applications and comfort with use of technologies.
- Exposure to, or experience with/interest in, foreign cultures and languages a plus.
Preferred Educational Qualifications
Bachelor's degree.
Preferred Experience
At least three years of related experience, OR an equivalent combination of education and experience.
