Operations & Program Manager - Professional and Continuing Education

The University at Albany's Professional and Continuing Education (PaCE) program is seeking a highly organized and proactive Operations and Program Manager to support the Executive Director in implementing strategic initiatives, overseeing project execution, and ensuring operational efficiency. This role will be instrumental in managing timelines, coordinating across university departments, and driving PaCE's key objectives, including industry partnerships, microcredential programs, and workforce-aligned education offerings. In addition to operations and financial management responsibilities, the Operations and Program Manager will support program development including supporting course participants with registering and administrative issues during their courses, ensuring that learners, industry partners, and institutional stakeholders have an outstanding experience with PaCE programs.

Primary Responsibilities:

  • Manage PaCE operations and finance activities including revenue processes and payments, budget tracking, and financial reporting for PaCE projects including the development and tracking of courses/programs, registration and payment processing, instructor hiring and payment, course/program budget development and tracking and other operational activities as required.
  • Support the execution of key PaCE initiatives by developing and maintaining course/program project plans, budgets, and timelines, including supporting the course/program development, tracking milestones, deliverables, and ensuring alignment with strategic goals.
  • Support the development and implementation, including planning, coordinating marketing/outreach, registration, participant support, and evaluation of microcredential programs, executive education, and industry training programs.
  • Work closely with marketing and enrollment teams to ensure timely promotion and visibility of PaCE programs.
  • Support stakeholder communication, preparing reports and presentations for leadership, university committees, and external partners.
  • Assist with recruiting and hiring staff and graduate assistants for PaCE.
  • Other reasonable duties as assigned.

Functional and Supervisory Relationships:

Reports Executive Director of PaCE.

Job Requirements:

  • Strong organizational and stakeholder engagement skills including excellent oral and written communication skills, with the ability to work collaboratively across teams.
  • Advanced proficiency with Microsoft Office Suite and electronic forms.
  • Knowledge of higher education operations or experience managing projects in large institutions.

Minimum Qualifications:

  • Bachelor's degree from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.
  • 2-3 years of experience in project management, program administration, or a related area.
  • Demonstrated ability to manage multiple initiatives and competing priorities.
  • Experience managing budgets and financial planning for educational programs.

Preferred Qualifications:

  • 3 to 5 years of experience in workforce development, community relations or industry partnerships.
  • Advanced degree or equivalent experience in business, education administration, project management, or a related field from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.
  • Experience navigating Slate/Technolutions or other Admissions processing and/or Communication Management Systems (CRM).
