Job Description:
Job Summary:
This Payroll and Accounts Payable Assistant position is responsible for collecting, processing, and inputting data for payroll processing, as well as verifying all information for accuracy and running appropriate reports. This position is also responsible for the Accounts Payable day-to-day operations in the Business Office.
Essential Duties and Responsibilities:
- Responsible for staff payroll for the United States and Canada, including:
- Support the Payroll Manager as needed, including processing biweekly and monthly payrolls, preparing tax payments and garnishments for AP, assisting with quarterly and year-end tax filings, providing reporting and auditing support, etc.
- Input special pay and assist with teaching faculty payroll processing.
- Assist teaching faculty and staff with payroll-related questions.
- Process new and updated W-4, direct deposit and W-2 forms.
- Assist with the preparation of 403(b) and year end reconciliations.
- Oversee basic accounts payable processes, including invoice processing, payment requests, expense reports, and state and federal tax payments, ensuring accurate coding and authorized approval for all invoices.
- Review the accuracy of information processed by the Accounts Payable staff prior to posting.
- Monitor the timeliness of recording and payment of the university's purchases of goods and services and ensures transactions are recorded in the appropriate account period.
- Respond to inquiries from vendors and staff in a timely manner.
- Assist with the preparation of the annual Form 1099 and Form T4A.
- Serve as the functional lead for the Accounts Payable system and ensure the integrity of the Accounts Payable data. Maintain the foundation configuration of the Accounts Payable module and coordinate testing as updates to the software occur.
- Provide back-up for other accounting personnel as needed.

- Associate's degree in accounting; Bachelor's preferred. Or equivalent combination of education and experience
- Minimum of two years of full-cycle payroll processing experience and five years of experience in accounts payable.
- Demonstrate high level of customer service, attention to detail, organizational, and problem-solving ability.
- Working knowledge of federal and state tax regulations.
- Ability to work independently with minimal supervision.
- Demonstrated ability to prioritize work, multi-task, and shift priorities as needed to meet deadlines.
- Demonstrated ability to review work of others for accuracy and compliance with policies and procedures.
- Ability to maintain a high level of discretion and confidentiality.
- Ability to read and interpret documents such as safety rules, operating instructions and procedure manuals. Ability to write routine reports and correspondence.
- Ability to communicate effectively with diverse staff, faculty and students.
- Proficiency with MS Office products.
- Experience in Human Resources Management and Accounts Payable System preferred.
- Experience working in a university or higher education preferred.
