About the Role
The Portfolio Officer – Student Residences is responsible for the operational management and tenancy administration of an allocated residential portfolio within Swinburne Student Residences. The role ensures the effective day-to-day coordination of tenancy, compliance and facilities-related services, supporting a safe, well-maintained and high-functioning residential environment.
Reporting to the Team Lead, Residential Services, the Portfolio Officer oversees building operations across their portfolio, including maintenance coordination, contractor engagement, cleaning standards, room readiness and compliance activities. Working closely with the University’s Facilities and Property teams, the role ensures service delivery aligns with agreed standards, legislative requirements and operational timeframes.
The Portfolio Officer is also responsible for managing tenancy processes across the resident lifecycle, including licence administration, inspections, documentation management and enforcement of the Residential Licence Agreement. The role maintains accurate records within relevant systems and ensures appropriate escalation of welfare, conduct or risk matters to the Student Life team or other University support services in line with established procedures.
As a key operational contact for residents within their portfolio, the Portfolio Officer delivers high-quality customer service while maintaining clear boundaries and compliance standards. The role contributes to continuous improvement initiatives, supporting the development of efficient processes, strong governance practices and an enhanced residential experience.

About You
To be suitable for this role you will need to have experience in the below key accountabilities:
- Experience in property, tenancy, or housing operations within a residential or customer-service environment
- Demonstrated ability to provide high-quality, professional customer service
- Strong understanding of tenancy management, licence enforcement, and rent or debt management processes
- Experience monitoring budgets, managing allocated funds, and preparing expenditure reports

Qualifications
A relevant tertiary qualification or an equivalent combination of relevant experience and/or training in property, facilities, or tenancy management
