Job Description

Montgomery College, Rockville Campus, has an immediate need for a full-time Program Coordinator within WDCE in the Developmental Education Workforce Access Program. The work schedule is Monday – Friday, 8:30 a.m. – 5:00 p.m. This is a bargaining, non-exempt, grade 23 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College. Once approved, this eligibility is subject to change based on the needs of the unit.

Under supervision and/or direction, incumbents in this position are responsible for providing oversight for course registrations and enrollment as well as the coordination, delivery, implementation and evaluation of open enrollment/contract courses and programs and require knowledge of workforce development programs best practices and emerging trends, as well as requirements for individual courses and/or program criteria.

Contacts and interaction vary and may involve multiple constituencies such as direct interaction with the business community, outside agencies, faculty, colleagues, managers, directors, students, parents, vendors, contractors and consultants.

Duties include but are not limited to:

  • Schedule, assign, inspect and review work of assigned staff (i.e., student aides, temporary staff) to ensure work is performed according to established standards.
  • Prepare course material requirements and coordinate the ordering, preparation and distribution for instructors and/or students.
  • Enter courses in respective system for open enrollment and contract classes.
  • Coordinate training/course requests with external entities, (i.e., Montgomery County Government, businesses and other agencies). Coordinate/communicate with contract clients to ensure smooth delivery of courses including scheduling, materials preparation, registration packet development, receipt, evaluation, and other logistical issues.
  • Distribute promotional materials as well as provide assistance regarding programs, services, policies and course requirements.
  • Monitor faculty submission of required evaluations, reports, and forms. Respond/resolve difficult and time-sensitive situations.
  • Receive, review student registrations for all programs prior to system entry, including but not limited to reviewing forms for accuracy/eligibility, securing proper signatures, follow-up with parents/students regarding additional information/signatures needed, and incomplete forms.
  • Collect and securely maintain personal, sensitive, and/or confidential information related to registering students, including minors.
  • Notify faculty and students of approved and cancelled classes.
  • Maintain Purchase Card and track program spending by account.
  • Prepare class paperwork including registrations, evaluations, CEU forms, and roster.
  • Design, create, and distribute marketing materials.
  • Respond to student/parent inquiries of course availability, content, scholarship qualifications/availability, as well as College/student safety concerns.
  • Initiate telephone, e-mail, and other communications to faculty/parents/students/community regarding program information.
  • Perform other duties as assigned.

Required Qualifications:

  • Associate’s degree in education, educational technology, or a related field.
  • Three years of experience in a learning institution/environment, working with clients, instructors, and/or students.
  • Two years of experience in an administrative assistant or customer service role with significant interaction with the public by phone, e-mail, and face-to-face.
  • Knowledge of Microsoft Office (Microsoft Word, Access, Excel, and PowerPoint).
  • Excellent leadership and customer service skills.
  • The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.

Preferred Qualifications:

  • Two years experience working with vulnerable populations and/or individuals with disabilities.
  • Supervisory coordination experience.
  • Previous experience multi-tasking.

Hiring Range: $28.79 -$37.42 annually. Initial salary placement for new hires falls between the minimum and midpoint of the range and is based on relevant candidate experience and internal equity. The maximum salary for this position is $46.04.
