Salary Range: $40,300 - $50,000 annualized, commensurate with education, experience, and qualifications.

Job Summary (Program Specialist)
The Program Specialist coordinates and administers activities of assigned programs by developing and implementing procedures, processes, services and systems. This role serves as liaison with other programs and external parties to ensure cooperation, efficiencies and accomplishment of stated objectives.
Core Responsibilities (Program Specialist)
- Manages the daily operations of the department front desk counter including but not limited to phones, emails, and other customer service duties as assigned.
- Assigns administrative phases of programs and projects, which may include research, data analysis, scheduling, and distribution of materials.
- Uses initiative and independent judgment to relieve one or more administrators of administrative matters and decisions about assigned programs and projects.
- Assists administrators in establishing and attaining departmental goals and objectives.
- Coordinates the implementation of programs. Researches new program ideas.
- Creates and processes electronic documents such as purchase orders, reimbursements, and travel.
- Collects data from various sources and analyzes for accuracy, completeness, and relevance. Prepares complex, statistical, technical, financial, and confidential reports, charts, and graphs.
- Schedules and coordinates activities in assigned programs and projects.
- Interacts with university departments, special groups, and external agencies to coordinate resources and communicate/market programs.
- Develops and oversees the maintenance of office filing systems. Maintains complex and confidential files for administrators.
- Performs other duties as assigned.
Job Summary (Program Coordinator)
The Program Coordinator coordinates the operation of programs or projects, exercising independent judgement and authority as required. This position ensures programs run efficiently, meets goals, and stays within budget. This role serves as the liaison between teams and stakeholders to achieve success and growth.
Core Responsibilities (Program Coordinator)
- Manages the assigned phases of programs, which may include budget decisions, program selection, staff supervision, future planning, and innovation.
- Proposes, evaluates and coordinates the implementation of programs.
- Researches new program ideas, and proposes program design, which may include grant development and submission.
- Plans, schedules, and coordinates activities in assigned programs and projects.
- Ensures program needs are met through resource planning, tracking, and management. Resources include talent, supplies, and facilities.
- Coordinates marketing and communication activities for the program.
- Evaluates program activities and makes recommendations for changes and enhancements to ensure the program evolves as necessary to continue to serve the mission.
- Maintains tracking and reporting systems to monitor program/ participant progress and results.
- Provides data and progress/status reporting as necessary for program sponsors and other university personnel.
- Creates reports to reflect student progress and program levels and assists in the creation and maintenance of internal controls to protect student confidentiality and program reporting.
- Interacts with university departments, special groups, and external agencies to coordinate resources and communicate/market programs.
- Performs other duties as assigned.
Required Qualifications
- High School Diploma, Vocational training or Apprenticeship in a related field.
- Three (3) to five (5) years of related work experience. + At the discretion of the hiring department, additional education may substitute for experience on a one year for one year basis.
- This position requires the ability to maintain the security and integrity of UT San Antonio and its infrastructure.

- Exerts up to 10 lbs. of force occasionally.
This position will work primarily on campus. Travel and parking expenses are the employee's responsibility.
This position will be filled at either the Program Specialist or Program Coordinator level, based on finalist qualifications and needs of the department.
This position is contingent upon a successful background check. Verification of a valid driver's license and Motor Vehicle Record (MVR) may be completed as applicable. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
