Senior Administrative Assistant & Project Manager (Confidential)

Position Summary:

Rutgers, The State University of New Jersey, is seeking a Senior Administrative Assistant and Project Manager for the Office of the President. This position reports to the Chief of Staff and provides high-level administrative support and project coordination. The Senior Confidential Administrative Assistant and Project Manager serves as a member of the frontline Office of the President and is expected to engage professionally and respectfully with a wide range of audiences.

Among the key duties of this position are the following:

  • Completes a broad variety of administrative tasks including providing scheduling support for the Chief of Staff and Special Assistant to the President, coordinating meetings and travel arrangements, supporting the preparation of briefing materials, and processing expense reports.
  • Supports the Chief of Staff by coordinating progress tracking and follow-through on priority initiatives, issuing reminders and updates to keep projects on schedule and aligned with Presidential goals.
  • Provides support for on- and off-campus presidential events which will at times require responsibilities beyond normal working hours, including weekends.
  • Reviews and creates office processes and procedures as needed.
  • Partners with the Senior Executive Associate on office coverage, greeting guests professionally, answering/fielding calls, and tracking inbound and outbound correspondence.
  • Handles and safeguards highly confidential and sensitive information on behalf of the Office of the President, including materials related to executive leadership deliberations, governance, Rutgers unions and collective negotiations, legal matters, strategic initiatives, and other institutionally sensitive issues, exercising sound judgment and discretion at all times.
  • Performs other duties as assigned.

Minimum Education and Experience:

  • Bachelor's degree and at least two (2) years of relevant administrative experience; or an equivalent combination of education and/or experience.

Physical Demands and Work Environment:

  • Requires a valid driver's license and a personal vehicle to attend events at various locations on-and off-campus.

Special Conditions:

  • Position requires occasional responsibilities beyond normal working hours, including weekends.
  • Clean Driving Record.
