Senior Specialist
Position Description
Performs specialized, complex work to assist in the organization and implementation of various projects and programs. Work is performed under supervision within established guidelines with performance based on overall results obtained.
Major/Essential Functions
- Assist with supervising distribution employees. Delegate daily and weekly tasks. Ensure all Route and Dock team responsibilities are completed daily. Provide training and dock assistance when necessary.
- Keep receiving area equipment and packages secure. Maintain equipment and follow safety regulations when operating equipment. Notify supervisor of any needed supplies or equipment. Notify supervisor or authorities regarding any unauthorized items on dock. Follow all institutional rules and complete all required training.
- Maintain postage meter. Train staff and verify that postage and surcharges are properly applied. Reports generated and funding collected.
- Assist with Bulk Mail preparation, including folding, inserting, tabbing, and sorting mail into assigned trays or bins, along with any other required Bulk Mail tasks.
- Ensure Route Team Copier compliance by checking meter alignment.
- Certify Distribution Fleet vehicles.
- Maintain Stop list and add New Stops as they are requested.
- Monitor status of all deliveries to ensure every item's disposition is recorded accurately. Create reports detailing activity in area.
- Resolve general issues or problems relating to service area. Keep a clean, safe, and organized work area, maintain fire codes on clean dock area, no misplaced or overlooked items in area. Answer telephones and provide customer services, cross-train and support as needed, comply with all institutional training and customer service expectations. as needed.
- Maintain knowledge of all delivery routes and adjust as circumstances change. Ensure all staff are completing tasks in essentially the same manner.
- Communicate with supervisors, staff, and departments at all times to ensure efficient, proper delivery of every item handled.

You have an obligation to question and even challenge our policies and to suggest better ways of doing things.
Preferred Qualifications
- Valid Texas Driver's license and at least two years of driving experience with a clean record to operate state-owned vehicles and equipment on a daily basis.
- Utilization of handheld computing devices, or other inventory tracking technology, to track items.
- Prior operation of a forklift and obtain certification within six months of hiring.
- Prior experience operating a wheeled dolly, pallet jack, and carts on various surfaces.
- Prior experience working in a general office, state and institutional regulations and policies.
Required Qualifications
High school plus five years experience. Additional education may substitute for experience on a year for year basis.
