Specialist, Graduation and Auto-Awards Operations
Position Summary
The Graduation and Auto-Award Operations Specialist provides operational and technical support for graduation processing, auto-awarding, and academic record accuracy within the Office of the Registrar and Academic Records. This position manages high-volume, policy-driven processes that directly impact degree completion, credential integrity, and institutional compliance.
The incumbent serves as a subject matter expert in graduation, auto-award, and degree audit functions, working closely with Banner, DegreeWorks, and cross-college partners to ensure timely, accurate, and equitable outcomes for students.
Essential Responsibilities and Duties
Graduation and Degree Completion Operations
- Serve as a subject matter expert for graduation-related policies and processes, supporting faculty, staff, and administrators.
- Evaluate degree audits to determine graduation eligibility, ensuring accuracy of academic history, programs, majors, credit hours, and requirements.
- Maintain and manage graduation-related documentation, including correspondence, curriculum exceptions, and OJT hours, using Etrieve.
- Work with confidential student records in full compliance with FERPA and institutional policies.
Auto-Awarding of Certificates and Degrees
- Manage auto-award processes for eligible student populations using Banner, DegreeWorks, and Excel-based reports.
- Enter, update, and maintain large volumes of student data in Banner and related systems with a high degree of accuracy and attention to detail.
Near-Completer Outreach & Degree Completion Support
- Identify students nearing degree completion (e.g., completion of 75% or more of program requirements) using academic records and data analytics.
- Provide individualized academic advising to near completers, including course selection, degree planning, and resolution of barriers to graduation.
- Collaborate with faculty, Financial Aid, and other campus partners to resolve issues such as incomplete coursework, financial holds, or administrative barriers.
- Conduct targeted outreach campaigns to re-engage near completers and encourage degree completion.
- Maintain and enhance tracking systems to monitor near-completer progress toward graduation.
- Secure student approval for degree completion and graduation, as required.
- Advocate for near completers by connecting them with campus resources such as tutoring, counseling, and career services.
