Job Description

The University of Indianapolis endeavors to enhance our global presence and engagement by creating high-impact international experiences for our community of learners through study & service abroad. The Study Abroad Advisor assists students in exploring global learning & service opportunities and with navigating the associated academic, cultural and logistical processes. The Study Abroad Advisor works collaboratively with faculty and University administration to develop and execute these programs safely and with financial integrity. The Study Abroad Advisor contributes to program visibility through innovative marketing, outreach & communication strategies. These responsibilities extend to UIndy programs with Native American tribes (First Nations).

REQUIREMENTS/MINIMUM QUALIFICATIONS:

Required:

  • Bachelor’s degree.
  • At least one significant international experience
  • Strong oral & written communication, problem-solving, and time management skills
  • Ability to work independently and collaboratively
  • Proficient with Google & Microsoft productivity applications
  • A valid passport & the ability to travel outside the United States if needed

Preferred:

  • Master’s degree
  • Experience in developing and executing instructor-led, direct enrollment, and exchange programs
  • Experience working with college-age students, faculty, university administration, and service providers
  • Demonstrated ability to establish priorities and simultaneously manage multiple projects
  • Experience with marketing campaigns, including social media & resource fairs
  • Conversational proficiency in a language other than English

SUPERVISORY RESPONSIBILITIES:

The Study Abroad Advisor may be assigned to manage student workers in association with specific projects or events.

ESSENTIAL FUNCTIONS:

  • Maintain awareness of the Forum on Education Abroad Standards of Good Practice
  • Maintain awareness of and implements the University’s SafeAbroad policies and procedures, particularly in relation to crisis management
  • Advise students exploring instructor-led, direct enrollment, and exchange programs
  • Guide students through application, finances, logistics, and cultural preparation related to their international experiences
  • Support the application and award processes of CDCGE-managed scholarships for international experiences
  • Maintain accurate program and applicant information and assist with communication workflows
  • Contribute to planning and implementation of pre-departure orientation
  • Provide general information on passport and visa processes, referring students to appropriate resources when needed
  • Assist program leaders with essential aspects of developing, promoting, and administering instructor-led programs
  • Manage agreements with external study abroad vendors and partner institutions, including reviewing documents, managing timelines, resolving disputes, ensuring adherence to regulations, and collaborating with the General Counsel and academic units
  • Deliver outreach or informational sessions to promote international opportunities
  • Coordinate post-program evaluation
  • Provide reentry advice or resources for returning students as needed
  • Develop marketing and recruitment activities to promote study abroad participation
  • Conduct classroom presentations, information sessions, and represent study abroad programs at resource fairs
  • Create and maintain digital and print promotional materials to enhance program visibility
  • Support the organization and execution of campus events related to campus globalization, coordinating with Student Affairs when appropriate
  • Ensure compliance with University’s financial policies and maintain accurate recordkeeping to support data reporting
  • In the event of an emergency or crisis, serve as a first responder to events abroad that may impact study abroad participants (taking emergency phone calls, sending alerts, notifying appropriate University officials).
  • Follow the guidance and direction of the supervisor.
  • Demonstrate respectful, ethical, responsible behavior.
  • Abide by the University’s policies, procedures, and rules.
  • Perform employee responsibilities as detailed in employee handbooks and policies.
  • Demonstrate regular and predictable attendance and punctuality.
  • Other duties, including special projects, as required or assigned.
