POSITION SUMMARY
The assistant registrar reports to the registrar. The position is full-time and does offer benefits as specified in the staff handbook. The assistant registrar is responsible for supervising the day-to-day operations of the office and the work of any additional office staff. In accepting this offer, HLGU expects that you will maintain a standard of conduct in keeping with the moral and religious standards of HLGU, which includes total abstinence from the use of tobacco, alcohol, marijuana, and other harmful drugs. In addition, you are expected, as a born-again believer, to be faithful to the local evangelical church (preferable Southern Baptist) of your choice, believe the Bible to be God’s Inspired infallible Word, will be faithful to your church – in terms of attendance and otherwise – and will strive earnestly to set a clean, upright Christian example in daily life. You will also agree to abide by HLGU’s adopted faith statement, the Baptist Faith and Message 2000 from the Southern Baptist Convention and to maintain loyalty to HLGU during employment.
DUTIES AND RESPONSIBILITIES
- Supervise the day-to-day operations of the office.
- Supervise the daily work for student registration and transcript handling.
- Supervise the certification of student athletes and VA benefits.
- Perform the duties of direct reports in their absence.
- Provide feedback for development and performance review for direct reports.
- Communicate information with the campus community and other constituents on behalf of the office.
- Maintain accurate academic records.
- Evaluate transfer coursework and supervise transcription.
- Complete graduation evaluations for students preparing to graduate.
- Create & edit degree plans for academic departments.
- Create & maintain degree audit system.
- Provide excellent customer service in the office, by phone, and by email.
- Serve on committees as assigned.
- Assist the registrar with special projects and other administrative duties as assigned.
DEPARTMENTAL RELATIONSHIPS
- Will work with all departments, faculty, staff, and students.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of university policies and procedures.
- Knowledge of NAIA rules and regulations regarding athletic certification.
- Knowledge of VA rules and regulations regarding benefits certification.
- Must be able to schedule and meet deadlines.
- Must be detail-oriented, well organized, and able to handle multiple tasks at one time.
- Excellent communication, interpersonal, and organizational skills.
- Solid analytical, decision making, and problem solving skills.
- Excellent computer skills and must be proficient in Microsoft Office Suite.
- Knowledge of FERPA and higher education rules and regulations.
- Must have values consistent with the mission and purpose of Hannibal-LaGrange University.
- Successful completion of standard background checks: social security verification, education verification, and national criminal background checks.
- Must agree to sign and abide by the standards of employment on the back of the application, and in the employee handbook.
EDUCATION, EXPERIENCE, AND TRAINING
- Required: Bachelor’s degree or equivalent combination of education and experience.
- Required: 2-3 years office and/or higher education experience.
- Preferred: Experience in records and project management.
- Preferred: Experience working with Ellucian campus technology products preferred.
- Preferred: Supervisory experience.
