Job Description

The Executive Assistant to the Chief of Staff, Vice President for Institutional Advancement and Operations, and Executive Director of the MCC Foundation provides high-level, confidential administrative and operational support in a fast-paced executive environment. This role serves as a central coordination point for executive initiatives and Foundation operations.

Responsibilities include managing executive communications, preparing board and donor materials, tracking strategic projects, coordinating fundraising activities, and supporting Foundation events. The position ensures efficient operations across the Office of the VP and the MCC Foundation while maintaining professionalism, discretion, and attention to detail.

Required Qualifications

  • Associates degree in Business Administration, Office Administration, Communications, or a related field; bachelors degree preferred.
  • Minimum of three (3) years of progressively responsible administrative support experience, preferably in an executive or senior leadership environment.
  • Demonstrated experience handling confidential and sensitive information with discretion and sound judgment.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • Ability to work independently, exercise initiative, and maintain professionalism in interactions with executives, board members, donors, and external partners.

Preferred Qualifications

  • Bachelors degree in Business Administration, Communications, Public Relations, or a related field.
  • Experience supporting senior executives in higher education, nonprofit, or public-sector environments.
  • Familiarity with fundraising operations, donor stewardship practices, or foundation administration.
  • Experience preparing board-level materials, agendas, and reports.
  • Proficiency with donor management systems and event coordination platforms.
  • Experience coordinating special events, fundraising campaigns, or executive-level initiatives.
  • Strong project management skills with the ability to track multiple strategic initiatives simultaneously.

Physical Demands

  • Work is primarily performed in a standard office environment. The position requires prolonged periods of sitting, working at a computer, and using standard office equipment. The incumbent must be able to communicate effectively in person, by phone, and via electronic means.
  • Occasional standing, walking, bending, and light lifting (up to 25 pounds) may be required, particularly during Foundation events or campus functions. The role may require occasional evening or weekend work to support institutional or Foundation activities.
