Job Title: Surgical Oncology Executive Assistant - Business Services Professional - Open Rank Entry Professional - Senior Professional

Job Summary:

The Department of Surgery (DOS) Division of Surgical Oncology is seeking a Business Services Professional (BSP) to provide high-level, independently functioning support of business processes and functions of the Office of the Chief of the Division of Surgical Oncology and it's faculty.

The BSP manages calendar, operational, fiscal, and educational tasks in an independent manner with discretion, and interacts with both internal and external stakeholders as well as hospital partners.

Key Responsibilities:

65% - Program Coordination

  • Coordinates and advises on Divisional and educational meetings (meeting set-up, communications, catering, materials preparation, minutes, etc.). Meetings may include, but not be limited to faculty meetings, committee meetings, Grand Rounds, conferences, retreats, graduation events, etc. which require early morning starts at least once per week.
  • Provide day-to-day program support to the Division Chief of Surgical Oncology including but not limited to calendar management, travel, reimbursement, official functions, licensing and credentials, faculty meetings.
  • Supports the Division Administrative Director (DAD) with administrative duties including but not limited to calendar management of multiple physicians, event coordinating, reserving space, placing catering orders, and taking attendance/meeting minutes.
  • Supports faculty and the DAD with reimbursement and expense reports on the behalf of faculty and staff as well as advises and informs of appropriate processes and policies related to procurement and financial transactions.
  • Manage faculty license and certification renewal process including but not limited to submission of credentialing, training certification, class scheduling and appropriate storage of said licenses.
  • Assists the Division with programmatic communication and marketing efforts.
  • Assist the Finance Manager, Business HR Partner and other administrative staff with project support, data gathering, entry and administrative support.
  • Serve as the primary back up for the Business Services Program Manager in the Divisions
  • Maintain and update the Surgical Oncology attending and Breast attending call schedule
  • Monitor, review, and approve departmental room bookings to ensure appropriate use and availability

35% - Office Operational Duties

  • Act as a first point-of-contact for the Division of Surgical Oncology including the answering and directing of incoming calls and walk-in customers
  • Maintain supplies for the office, copy room and kitchen. Maintain printers and other office equipment, including placing work orders. Process and generate maintenance requests.
  • Management of Division Outlook inbox, and divisional mail distribution
  • Composes official communications to the Department on behalf of the Chair and Director. Communications could include policy changes, general messages from the Chair, and will require excellent communication skills and a high level of polish and attention to detail.
  • Responsible for procurement of goods and services for the division and reconcile credit card and division expenses.
  • Support divisional administrative operations including events, contracts, vendor agreements, invoicing, supply ordering, and other administrative operations as assigned.

Work Location: Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.
