Job Summary/Basic Function
The University Buyer is responsible for supporting the procurement and purchasing functions of the campus. This role involves obtaining competitive pricing for goods and services, coordinating vendor contracts, ensuring compliance with purchasing policies, and serving as a liaison between campus departments and vendors. The Buyer works collaboratively with internal stakeholders to provide cost-effective, accurate, and timely purchasing support while maintaining the highest standards of professionalism and service.
DUTIES AND RESPONSIBILITIES:
- Obtain competitive pricing of goods and services for the campus community.
- Explore contracts involving the use of outside consultants and services.
- Prepare specifications and bids from vendors in cooperation with requesting departments.
- Enter purchase order data in university software programs.
- Maintain databases of vendors, equipment availability, and property disposition.
- Instruct campus departments in policies and procedures for obtaining goods and services.
- Review purchase orders prepared by other personnel for accuracy and compliance.
- Handle correspondence related to projects, orders, and purchasing issues.
- Act as liaison between vendors and campus departments.
- Work in conjunction with university departments and logistics to resolve issues with damaged, incorrect, or duplicate shipments.
- Prepare reports for internal and external constituents.
- Expedite orders as necessary.
- Perform other duties as assigned.
Minimum Qualifications
- Bachelor’s degree in Business Administration, Accounting, or related field.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) computer applications.
- Knowledge of purchasing policies, accounting, and basic office procedures.
- Strong analytical ability, interpersonal skills, organizational skills, and communication.
- Ability to establish priorities and work independently under general supervision.
- Demonstrate ability to work professionally, effectively, collaboratively, and with integrity.
- Willingness to assist other areas within the department while maintaining a professional and positive attitude.
- Provide responsive support to campus departments and vendors.
Preferred Qualifications
- Certified Purchasing Manager (CPM) or Accredited Purchasing Practitioner (APP) certification.
- Experience working in a university, public-sector purchasing, or procurement environment.
- Knowledge in managing vendor relationships and negotiating contracts.
