The University Registrar is responsible for maintaining all records related to student academic progress, academic policy, and curricular details. Additionally, the University Registrar is responsible for ensuring compliance with all federal, state and other reporting requirements related to the functions of the office, working closely with other university offices as appropriate. The University Registrar also works closely with all departments to support strategic goals for enrollment, retention, persistence, and graduation. The University Registrar supports the university’s quality improvement efforts by focusing on improving the performance and accuracy of owned processes that have direct or indirect impact on related departmental and/or institutional results. Essential responsibilities include, but are not limited to, submitting data to state and federal reporting agencies, supporting enrollment and student services, supporting strategic initiatives and academic improvements, and verifying student enrollment.

Essential duties & responsibilities

Administrative and operational oversight

  • Oversee the maintenance of student academic records, including transcripts and degree certifications
  • Provide leadership and supervision to the Office of the Registrar and its staff
  • Provide exceptional customer service to students, faculty, and staff regarding enrollment and academic services
  • Plan, administer, and oversee the departmental budget, ensuring efficient and authorized use of financial resources
  • Coordinate production of the annual Academic Catalog, and process revisions to curriculum, academic policies and programs
  • Maintain and disseminate information about current academic policy, curricular requirements, and course inventory, including changes approved throughout the academic year
  • Oversee creation of the university academic calendar, each term's master schedule, registration timing/details, and final exam schedules
  • Coordinate, with the support of Information Technology and others, the effort to effectively automate processes that enhance the user experience for students, faculty, and staff.
  • Oversee all aspects of the university’s student information system relevant to the work of the office.
  • Work with appropriate offices to coordinate University commencement exercises
  • Track, monitor, and report on the performance of owned processes that have direct or indirect impact on related departmental and/or institutional results

Policy and compliance

  • Carry out academic policy and procedures and make initial decisions regarding exceptions in consultation with the Deans and/or VPAA
  • Ensure compliance with all required federal, state, accreditation, and university policies related to the responsibilities of the office
  • Oversee adherence to all athletic governing policies, academic eligibility procedures, and reporting requirements
  • Serve as university compliance officer for the Federal Educational Rights and Privacy Act (FERPA)

Reporting and student support

  • Serve as the university's primary contact with the National Student Clearinghouse
  • Collaborate with Institutional Research and other departments as needed for required state, federal and other reporting, including internal reporting of enrollment, student performance and graduation data
  • Establish department deadlines of owned processes, track, monitor, and report on performance of owned processes that have direct or indirect impact on related departmental and/or institutional results
  • Work closely with other departments to provide timely and accurate information about student academic progress as needed to support university strategic goals for retention, persistence and graduation
  • Certify student academic records and degree eligibility, and issue diplomas and official academic transcripts
  • Support relevant offices, committees and processes related to maintaining University academic standards and student academic progress
  • Qualifications
  • Master’s degree required
  • Five or more years of progressively responsible work experience, including leadership and supervisory roles
  • Prior experience working in a Registrar's office, or closely related area in a higher education institution
  • Experience working with traditional as well as non-traditional student populations
  • Experience working with a SIS (Jenzabar preferred), CRM, ERP or related system
  • Experience working with student records and academic record-keeping
  • Knowledge of higher education institutional and programmatic accreditation processes
  • Commitment to ethical practice

  • Working knowledge of budget management and business acumen
  • Knowledge of relevant federal and state regulations, including FERPA and NAIA regulations
  • Demonstrated project management skills, from concept, analysis, implementation and testing through full production
  • Demonstrated experience working as part of a collaborative team to accomplish shared goals
