Position Summary
The Renaissance Computing Institute (RENCI) seeks an Administrative Support Specialist to serve as the primary representative of RENCI’s front desk, ensuring a professional and welcoming first impression for RENCI staff, visitors, and external partners. Because this role manages physical office operations and reception, it is an on-site position. This position provides essential administrative and clerical support to maintain smooth day-to-day operations and assist the Coordination Team.
Primary responsibilities will include:
- Office maintenance: mail distribution, shipping and receiving via USPS, FedEx,UPS, managing breakroom and supply ordering, opening/closing the doors, assisting with minor space rearrangements, answering phones as needed.
- Operational support: conference room reservations, support Zoom setup for virtual and hybrid meetings, scheduling RENCI-wide events, note-taking as needed, supporting RENCI event logistics including scheduling invites and catering arrangements.
- Onboarding & Offboarding: In collaboration with Coordination Team members, facilitate new hire onboarding, including creating documentation, liaison between HR, manager, and new hire, account and equipment set-up in collaboration with IT, and general new hire support.
- Other duties as assigned.
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Management Preferences
- Previous front desk or reception experience in a professional setting
- Familiarity with academic administration or research environment
- Experience supporting office or event logistics, including catering, meeting preparation, or visitor coordination
- Demonstrated reliability
- Ability to handle confidential or sensitive information appropriately
