Administrative Assistant 2
Job Summary
Performs complex administrative work involving considerable internal and external contacts, non-routine tasks, access to confidential information and administration of department policies and procedures. Judgement and initiative are frequently exercised in answering verbal and written communications and interpreting departmental policies, rules and regulations. Supports management for the School of Public Health.
Responsibilities
The responsibilities include, but are not limited to:
- Provide executive level support to the SPH that includes scheduling, making arrangements for meetings and conferences, reserving rooms, food service, travel and housing for internal and external contacts.
- Answer phones and greet visitors to the office.
- Prepare travel documents, IDR's and check requests for assigned faculty and staff.
- Prepare written correspondence and reports, create agendas, design and develop meeting presentations as needed.
- Handles and resolves complex issues independently and in a timely manner. Assist in the development of policies and procedures for the division/department and is responsible for interpretation and explanation.
- Ability to procure a p-card and manage responsibilities of owning and utilizing a p-card properly.
- Serve as a liaison between department and institutional contacts as well as outside institutions and the general public.
- Order supplies using the PeopleSoft financials requisition/procurement system.
- Perform other duties as assigned.
Required Qualifications
Educational Requirements
Associates degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions or a high school diploma, GED, or equivalent from a recognized State or Federal accrediting organization and seven years' progressively responsible experience in administrative support positions.

Bachelor's degree from an accredited college or university in a business administration or related field.
Knowledge, Skills, & Abilities
ABILITIES
Ability to work independently with only general supervision. Ability to complete work and meet deadlines.
KNOWLEDGE
Basic competency in Microsoft Word, PowerPoint and Excel.
SKILLS
Good oral and written communication skills. Good organizational skills, detail oriented and ability to prioritize tasks.
Shift/Salary/Benefits
Shift: Days/M-F
Pay Band: 5
Salary Minimum: $17.88/hour - $21.72/hour
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position)
