Administrative Assistant - Extra Help (5533)
This position provides administrative and project coordination support for SIU School of Medicine's Development operations. The role assists in overseeing key administrative functions within the development office, including managing information, supporting departmental workflows, and coordinating high-impact tasks that involve multiple units and require discretion, accuracy, and timely execution.

- Provides executive and administrative support to development leadership by coordinating digital fundraising initiatives, including activities within the GiveCampus fundraising platform.
- Maintains an organized overview of project timelines, internal deadlines, and operational requirements for online fundraising efforts, including preparation for the annual Day of Giving.
- Assists in planning, organizing, and implementing Day of Giving activities, ensuring accurate setup of campaign content, designations, matches, challenges, and related digital components within GiveCampus.
- Reviews, organizes, and updates fund designations and campaign materials to ensure accuracy, consistency, and alignment with departmental standards.
- Drafts and prepares communications, summaries, and reports related to GiveCampus activity, Day of Giving progress, donor engagement, and departmental project updates.
- Investigates, gathers, and analyzes information from various sources to support the planning and maintenance of GiveCampus campaign structures, including tiles, tiered pages, designations, and performance metrics.
- Supports the planning and implementation of special fundraising initiatives beyond the Day of Giving, including additional campaigns and digital engagement opportunities.
- Serves as a liaison between development team members, other SIU Medicine departments, and external partners—including platform representatives—to coordinate tasks and ensure accuracy of campaign setup.
- Maintains digital records, campaign documentation, and confidential information related to fundraising operations.
- Assists with organizing, tracking, and reconciling fundraising-related data and reports from GiveCampus and other development systems.
Minimum Qualifications
- High School graduate or equivalent;
- Any one or any combination totaling five (5) years (60 months) from the following categories:
a. college course work in business, finance, accounting or a related field;
? 60 semester hours or an Associate's degree equals one (1) year (12 months)
? 90 semester hours equals two (2) years (24 months)
? 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
? Master's degree or higher equals four (4) years (48 months)
b. progressively more responsible professional, managerial and supervisory experience that included experience in areas such as supervising staff or a job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles.
