Job Description

The Administrative Assistant, Football is responsible for coordinating and executing the administrative activities to the Football program. Submits and processes procurement and travel transactions in Workday for Football program (e.g., requisitions; spend authorization; expense reports; supplier invoice requests; and miscellaneous payments). Responsibilities include distributing incoming mail & packages, processing outgoing mail & packages; signing out p-cards for use in the department; and picking up checks at OSU accounts payable office to distribute to requested units. Maintains inventory and processes orders for office supplies. Maintains and reconciles university p-card transactions according to OSU p-card policy. Provide administrative support to coaches including scheduling meetings and coordinating travel arrangements. Prepare meeting agendas, record minutes, and ensure proper meeting follow-ups. Assist with logistics and travel for official visits and recruiting events. Oversee student administrative assistants for football program. Performs other duties as assigned.

This position will be responsible for scheduling events, travel, appearances and managing the daily calendar for the Head Coach. This position will also be responsible for handling the following administrative tasks: distribution of season tickets and parking passes for coach and family; working on contacts in relation to special appearances; handling autograph requests; compliance paperwork as required; responding to public records requests; correspondence for head coach as needed; and additional administrative support for the office.

This position will also be involved in planning and executing community outreach events such as: Driven, Nationwide Children's, Make A Wish, Coach to Cure MD. The Coordinator will be act as a liaison to family members of the staff and provide guidance on schedules, tickets, events, Family Dinners, Bowl, etc.; Coordinate and relay all bowl information regarding hotel, tickets, events, childrens events, logistics relating to events, meals, luggage, tickets/events, game day procedures, travel arrangements, etc.

Minimum Required Qualifications

Bachelor's degree or equivalent experience. 2 years of relevant experience required. 2-4 years of relevant experience preferred.
