Administrative Assistant – McAnulty College Student Success Coach Office
Position Summary
The primary purpose of this Administrative Assistant position is to assist all who visit or contact the College Success Coach Office with exceptional customer service; to support the College success coaches in serving College students; and to contribute to the recruitment and retention of undergraduate students in the McAnulty College of Liberal Arts.
Duties and Responsibilities
- Creates excellent first-impressions for those who visit or contact the McAnulty College Student Success Coach Office.
- Creates a positive experience for students by assisting and directing any of the approximately 1100 undergraduate students in the College to appropriate resources with exceptional customer service.
- Answer multiple phone lines (including calls forwarded from the University switchboard), direct inquiries, and provide accurate information.
- Greets and assists visitors, prospective students, parents, faculty, and staff in a warm and professional manner.
- Ensures that all interactions with those who contact the College Success Coach Office reflect the Duquesne University Mission and leave a lasting impression.
- Provides coverage for the Dean’s office as needed.
- Updates student records and retrieve information in Ellucian Banner.
- Supports student success coaches in the College, including helping students with basic registration and scheduling needs.
- Creates lists and reports using Excel and/or COGNOS.
- Creates help tickets for office technology problems and use service portal to address maintenance needs for copier and other equipment.
- Process internal transfer applications to the McAnulty College.
- Updates major/minor declarations.
- Facilitates online language placement exam.
- Prepares for and attend University events.
- Attends, and assists with preparation for McAnulty College Orientation events, December Commencement, and May Commencement.
- Attend recruitment and retention events including DUQ Days, Admitted Student Days, the FAST program, and other University events, some of which will occur on evenings or weekends.
- Assists in the maintenance of the Liberal Arts database of computer equipment.
- Various special projects and other duties, as necessary.
Requirements
Minimum Qualifications
- Associate’s Degree in the Humanities or Social Sciences from an accredited institution. (Multiple years of experience in customer-service positions may substitute for Associate’s Degree.)
- This position requires a candidate with experience handling disparate administrative tasks.
- This position requires excellent written and spoken interpersonal communication skills.
Preferred Qualifications
- Bachelor’s Degree in the Humanities or Social Sciences from an accredited institution.
- Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:
- Excellent written and spoken interpersonal communication skills
- Ability to function with a broad range of administrative software
- Willingness to ensure that the Duquesne University Mission is reflected in every College Success Coach Office visitor experience.
- Ability to establish and maintain effective working relationships with the University Community.
- Ability and willingness to contribute actively to the mission of the University and to respect the Spiritan Catholic identity of Duquesne University.
