Secretary III
Rutgers, The State University of New Jersey is seeking a Secretary III for the Crisis Clinic/Early Intervention Support Services – Newark within Rutgers University Behavioral Health Care. The primary purpose of the Secretary III is to provide secretarial and general office services for the Crisis Clinic and Newark EISS programs.
Key Duties:
- Receives and assists visitors.
- Answers telephone calls in a professional and helpful manner.
- Triages and transfers call to the Crisis Clinic or EISS clinical staff and managers.
- Completes appropriate internal paperwork (paper or electronic) required by the respective programs, UBHC and Rutgers University.
- Maintains an accurate filing system to meet the needs of the respective programs.
- Manages internal and external mail for the respective programs.
- Performs assigned photocopying, collating, and distribution of materials as assigned by the Office Manager.
- Performs data entry tasks and work processing tasks as required by the respective programs.
Minimum Education and Experience:
Graduation from an accredited program in secretarial studies plus two (2) years of full-time secretarial experience. An additional year of experience is required in lieu of the secretarial program. College credits may be substituted on a year-for-year basis for secretarial experience. A maximum of sixty (60) credits or two (2) years may be substituted for two (2) years of secretarial experience.
Physical Demands and Work Environment:
PHYSICAL DEMANDS: Position requires standing to 1/3 of the time; requires walking under 1/3 time; requires sitting to 2/3 time, reach with hands and arms up to 2/3 time; climb or balance under 1/3 time, stoop, kneel, crouch, or crawl under 1/3 time, talk or hear over 2/3 time, requires lifting up to 10 pounds less than 1/3 time.
WORK ENVIRONMENT: May be exposed to infectious and contagious diseases. Subject to varying and unpredictable situations. Handles emergency or crisis situations. May be exposed to clients exhibiting assaultive or aggressive behaviors. Generally pleasant working conditions in a clean, well-lit, and quiet to moderately loud setting.
Special Conditions:
