Administrative Coordinator
The Administrative Coordinator provides comprehensive administrative and logistical support to optimize the operational effectiveness of the Bentley Historical Library. Reporting to the Associate Director for Budget and Administration, this role is central in organizing events, managing the Director's calendar, and executing various administrative responsibilities to support the library's staff and strategic initiatives. This position will collaborate closely with the Administrative Service Team and serve as the point of contact for key administrative partners to ensure coordinated efforts and seamless service.

- Administrative and Office Management: Provide general administrative support to staff, manage office supplies, coordinate mail and shipments, and assist with facilities management.
- Calendaring Support: Manage the Director's calendar, coordinate meetings, and assist with communication between the Director and campus partners. Schedule and support meetings that require logistical support, such as AV setups and agenda preparation.
- Financial and HR Support: Assist with employee onboarding/offboarding, financial transactions, and procurement. Coordinate travel arrangements and support hiring activities.
- Event Coordination: Organize and oversee event logistics, including planning meetings, facility selection, and support for interviews and meetings. Assist with our summer picnic, holiday event, and staff recognition activities.
High school education or equivalent and two years of experience in an administrative or office management role
Strong proficiency in Google Workspace and comfort working with new technologies
Demonstrated experience with inventory, purchasing, and reconciliation
Ability to foster a professional, team-oriented environment with a commitment to customer service, collaboration, and confidentiality
Strong organizational skills and ability to prioritize assignments
This position will primarily be in-person at BHL's physical library space, Monday through Friday during normal business hours.
The general salary range for this position is $42,000 - $45,000. Candidates can expect to be paid a competitive and equitable salary. Factors used to determine salary include education level, experience, knowledge, and skills for the position, and internal equity within the unit. All candidates are encouraged to discuss salary questions to honor alignment and transparency throughout the recruiting process.
