JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 2 assists the Chairman and Program Director in the planning, directing, and supervision of the objectives of the Department of Surgery.

Responsibilities
- Generates and prepares monthly reports to the Chair, Program Directors, Clerkship Director, and coordinator from the New Innovations Database.
- Updates information, schedules, and demographic information in New Innovations (software used to document residency educational experiences as required by ACGME) and AMION.
- Prepares reimbursement travel and expense requests for residents and faculty for CME.
- Customizes and creates monthly evaluations, rotation schedules, and didactic sessions in New Innovations for the department.
- Prepares advance travel assistance and manages all paperwork required from UT for reimbursement and maintains budget for all travel.
- Serves as a proxy for data entry into Digital Measures.
- Collects and files faculty credentials and certifications.
- Monitors completion of required certifications.
- Schedules speakers and determines needs for Grand Rounds.
- Collaborates with staff to promote speaker visits and topics for brochures and advertising.
- Coordinates travel, lodging, and reimbursement for visiting speakers.
- Secures, manages, and distributes a schedule of weekly didactic activities.
- Performs other related duties as assigned.
Qualifications
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of related experience; OR Associate’s Degree in lieu of experience. (Experience in a professional office setting and advanced computer skills (MS Office and Cloud-Based Office Applications) are preferred.)
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of ACGME program requirements to assist the Chair and Program Director in documenting required residency experiences.
- Ability to manage multiple concurrent deadlines.
- Ability to take initiative in managing multiple small training program issues with immediate direction.
- Excellent skills and knowledge of Microsoft Office Suite, including PowerPoint.
- Excellent communication abilities (written, verbal, and electronic) are preferred.
WORK SCHEDULE: This position may occasionally be required to work evenings.
