The Administrative Associate will provide direct administrative and scheduling support to the Vice President for University Advancement. This role ensures the efficient coordination of meetings, events, and travel, while maintaining a high level of professionalism and discretion. This role will serve as a key point of contact for internal and external stakeholders and play an important role in advancing the priorities of the Division of University Advancement. This is a temporary position with an anticipated duration of 3-4 months.

The salary is determined in accordance with the University's compensation structure and will be commensurate with the candidates' education and experience, within the assigned salary range for this position.

*Please Note: This is a temporary position and will be available for 3-4 months.*

Responsibilities:

  • Manage and maintain the Vice President's daily and long-term calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate logistics for internal and external meetings, ensuring proper preparation of agendas, materials, and follow-up.
  • Serve as the primary liaison for scheduling requests, balancing competing priorities with sound judgment.
  • Arrange travel, accommodations, and itineraries in alignment with the VP's responsibilities and institutional priorities.
  • Monitor deadlines and commitments to ensure timely responses and task completion.
  • Anticipate scheduling conflicts and resolve proactively.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Provide general administrative support as needed, including drafting correspondence and coordinating with other offices.

Required Education and Experience:

  • High school diploma or equivalent combination of education and experience.
  • Two years of related experience.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multitask and work cooperatively with others.
  • Effective verbal and written communication skills.

Preferred Qualifications:

  • Bachelor's degree preferred; relevant experience may substitute.
  • At least 2-3 years of administrative or scheduling experience, preferably supporting senior leadership.
  • Strong interpersonal and organizational skills.
  • Ability to work with sensitive information and maintain confidentiality.
  • Excellent organizational, time management, and problem-solving skills.
  • Ability to work independently and handle multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, Outlook, and scheduling software.
  • High level of professionalism and discretion.
