ADMINISTRATIVE OFFICE ASSISTANT III
Position Summary
Provide high-level, independent administrative and operational support to the Department of Management, with responsibilities spanning faculty and student support, budget and financial tracking, academic operations, internship coordination, event logistics, and external engagement. This position serves as the central administrative point of contact for the department and plays a critical role in ensuring daily efficiency and supporting departmental initiatives aligned with the College of Business Administration and Central Michigan University's strategic goals. The role requires sound judgment, confidentiality, initiative, and the ability to manage multiple complex responsibilities with limited supervision.
Required Qualifications
- High school diploma or GED.
- Four years of qualifying experience or a combination of education and experience that equates to four years.
- Experience with Microsoft Word.
- Customer service experience.
- Spreadsheet and/or database experience.
- Organizational skills with strong attention to detail.
- Demonstrated positive interpersonal skills.
- Effective verbal and written communication skills.
- Ability to project a positive attitude.
- Ability to manage multiple projects and meet deadlines with accurate results.
- Ability to compose, proofread and edit correspondence.
- Ability to perform essential functions, with or without reasonable accommodation.
Preferred Qualifications
- Experience with university systems such as SAP, Kronos, and Cognos.
- Familiarity with academic processes including course scheduling, curriculum tracking, and internship programs.
- Experience designing or maintaining department web pages or digital communications.
- Knowledge of FERPA and handling of confidential student records.
Duties & Responsibilities
Administrative & Financial Operations - Provide direct support to the Department Chair. - Prepare and track departmental budgets, invoices, and credit card reconciliations. - Order equipment, office supplies, textbooks, and instructional materials. - Manage payroll for faculty, staff, GAs, and student employees. - Oversee department inventory, building keys, and copy card systems. - Coordinate internal and external meeting logistics, including agendas and documentation.
Academic & Student Support - Prepare academic forms: curriculum changes, add/drop cards, grade changes, incomplete forms, independent study requests, etc. - Maintain student and program records for majors and minors. - Assist faculty with classroom prep and course materials. - Post class cancellations and updates course schedules as needed. - Provide front-line support to students, guests, and prospective majors/minors.
Internship Program Coordination - Serve as primary coordinator of the Management Internship Program. - Advise students on internship eligibility, application process, and academic requirements. - Review internship applications and documentation; monitor compliance and deadlines. - Communicate with employers to facilitate evaluations and gather performance feedback. - Maintain internship records and support program assessment and reporting. - Prepare marketing and informational materials and represent the department at outreach events (e.g., CBA Major Night, Discover CMU, CMU & You Day). - Coordinate with Career Services and external partners to identify and develop new internship opportunities.
Outreach & Communications - Support guest speaker events, departmental celebrations, industry partnership coordination, and student honor society and organization activities. - Assist with internal communication and promotional efforts, including website updates and event announcements.
