Job Description
The Natural Sciences- Administrative Support II supports Stetson University by serving as the key Administrative Support for budgetary management for five Academic Departments within the College of Arts and Sciences. Serving as a member of Natural Sciences Team, Natural Sciences- Administrative Support II will monitor multiple budgets, create expense projections, gather project quotes from vendors, and facilitates all stages of the purchasing process. In alignment with Stetson's Strategic Priorities (Download PDF reader), Natural Sciences- Administrative Support II will help departments provide rich traditions and signature academic offerings to promote transformational journeys for all of our students by establishing and following optimal budget management processes.
Essential Job Functions and Responsibilities:
- Under general supervision of the department chairs, perform primarily budget and purchasing duties for five academic departments (Biology, Chemistry, Environmental Science and Studies, Health Sciences, and Physics)
- Monitor budget, create expense projections, gather project quotes from vendors, and facilitate all stages of the purchasing process
- Receive ordered lab materials and distribute; maintain all classrooms, labs, and offices within the Brown & Sage Science Center in good working order (supplies, AV equipment, printers and copiers)
- Manage competing demands for resources among the five departments, including classrooms for classes, university meetings, and student groups
- Assist department chairs with routine operational and administrative details
- Exercise initiative, autonomy, and independence in various duties and extensive interface with multiple constituent groups
- Collaborate with a second administrative support person in the same office
- Order and maintain inventory of classroom and office supplies
- Perform other site and position specific functions as assigned
Required Knowledge, Skills, and Abilities:
The knowledge, skills, and abilities for this role include:
- Capacity to effectively manage multiple budgets, including initiating purchasing and reconciliation reports
- Initiative and strong organizational skills
- Ability to complete short-term tasks efficiently and support long-term planning
- Strong interpersonal, communication, and problem-solving skills
- Ability to multitask
- Capacity to work effectively with a wide array of people (students, families, faculty, and other staff) in support of the missions of the departments served
- Work effectively with highly confidential information
- Must be able to prepare written communications with little or no oversight
- Strong skills in Microsoft Word, Excel, PowerPoint, and Outlook
- Support the University's Mission and Values in their role
Required Qualifications:
This position requires:
- A Bachelor's degree or a minimum of five years of experience in responsible administrative support
- Experience managing multiple budgets

Ideal Candidate Qualifications:
- Knowledge of Banner
- Experience managing multiple budgets
- Proven ability to coordinate concurrent purchasing projects
- History of communicating and coordinating with external vendors
- Administrative support experience in a higher education context
- Knowledge or experience working within a STEM/natural science context (i.e., Biology, Chemistry, Physics, Health Sciences, or Earth and Environmental Sciences
Work Environment:
Typically performs work within academic buildings. Some outside interactions with vendors are expected.
Pay Grade: 5
Work authorization sponsorship may be available for this position. However, sponsorship is contingent upon the non-applicability of the visa petition fees outlined in the relevant Executive Order signed September 19, 2025. Due to the recent federally-mandated increased financial expense, the university is not in a position to absorb this significantly increased cost of sponsorship for new H-1B petitions at this time.
