Nevada State University is seeking a detail-oriented and organized Admissions & Records Assistant 4 to join our Admissions & Recruitment Office. This position plays a critical role in the evaluation and processing of incoming transcripts and transfer credit. The Admissions & Records Assistant 4 is responsible for reviewing academic records for accuracy, entering coursework into the student information system, and evaluating transfer credit, including determining course equivalencies in alignment with institutional policies and procedures.

Primary Responsibilities:

  • Coordinate and manage the intake and processing of incoming transcripts.
  • Analyze, interpret, and verify official academic transcripts for accuracy and completeness.
  • Accurately enter student academic history, including degrees and coursework, into the student information system.
  • Verify institutional and course codes using PeopleSoft.
  • Coordinate the evaluation of international and military transcripts, including verification of accreditation through the Transfer Evaluation System (TES) or direct contact with institutions.
  • Determine transfer credit equivalencies by reviewing course titles, descriptions, and prerequisites to ensure alignment with Nevada State's curriculum.

Required Qualifications:

Graduation from high school or equivalent education and four years of increasingly responsible and varied experience in multiple areas such as foreign transcript evaluation, admission of international students, data entry of new class data, preparation of the master class schedule, review of computer input and output, determination of eligibility for admission and graduation, and scheduling classroom and instructional space; OR one year of experience as an Admissions & Records Assistant 3 in Nevada State service; OR an equivalent combination of education and experience. Eligibility to work in the United States without sponsorship (Nevada State does not sponsor employment-related visas).

Preferred Qualifications:

Experience with student information systems and other platforms, including PeopleSoft, OnBase, Element451, and TES. Strong analytical and problem-solving skills with attention to detail. Familiarity with academic policies and transfer credit evaluation processes. Experience working in higher education or a related administrative environment.

Salary & Benefits:

Budgeted salary for this position is $50,153.76. Nevada State University offers excellent benefits, including a generous vacation & sick benefits, 12 paid holidays, educational benefits, a choice between three health insurance plans that can be supplemented with flexible spending accounts or health savings accounts, and an excellent pension retirement plan through the Public Employees' Retirement System of Nevada. The plan requires employees to withhold 19.25% of the budgeted salary toward retirement with an equal employer match of 19.25%. No relocation assistance is provided for this position. The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm. This Posting is Open Until Filled.
