Job Description
PURPOSE AND SCOPE:
Primary function includes reviewing, overseeing and analyzing all reports and information for the Office of Records & Enrollment Services. Performs analytical duties, characterized by examination of components and determination of relationships, requiring the conceptual analysis and synthesis of information and formulation of recommendations. Typical duties include collecting and compiling information, comparing information and making action recommendations to the Executive Director. Responsible for reviewing all college reports and determining user trends, data needs, and timely submission of reports to reporting agencies or internal departments. Conducts analysis as needed, while providing regular reports to management. Performs analysis and evaluation of student transfer credits and verifies transcript, degree and graduation credits, applications, and student record information. Position will work closely with the Executive Director and AVC to ensure all college reporting and data guidelines and goals are met and maintained.
ESSENTIAL JOB FUNCTIONS:
- Analyzes and evaluates transcripts, reviews and builds degree plans, and determines the various pathways for student transfer credit available to veteran and non-veteran students
- Maintains accurate and updated student records within PeopleSoft (iStar); troubleshoots program/plan issues; merges any duplicate student records, and converts records from previous databases as needed; Provides resolutions for SNOW tickets
- Analyzes quantitative and qualitative data to ensure report and data integrity
- Analyzes transcripts to ensure degree plan protocols and requirements are met; tracks required standard or progress necessary for graduation requirements
- Verifies student enrollment status and reporting to National Student Clearinghouse and NSLDS; clears all errors and verifies reports for certifications; reaches out to campuses regarding incorrect bio/demo information
- Maintains security protocols concerning the release of protected information
- Communicates with students and employees via phone, e-mail, and/or letter regarding LSC policies and procedures as they relate to student records
- Serves as a residency expert and assisting both students and campuses with residency questions/issues
- Provides end user training as needed in regard to records related functions and works with OTS to create UPKs and/or other training as needed
- Responsible for other reasonable related duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES:
- In depth knowledge of student records, admissions, transcripts and college graduation requirements
- Strong analytical skills; ability to collect, compile and analyze varied data sources with accuracy and integrity
- Proficient with common office software (i.e. MS Word, Excel, Access, etc.)
- Excellent customer service skills
- Ability to maintain confidentiality
PHYSICAL ABILITIES:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.
WORK SCHEDULE AND CONDITIONS:
- Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general general office equipment
- Interface with internal and external contacts as needed to carry out the functions of the position
- Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
- Bachelor's degree and at least 3 years of experience, or an equivalent combination of education and experience
PREFERRED QUALIFICATIONS:
- Experience working in higher education
- Experience using PeopleSoft's Campus Solutions Student System
- Experience with querying systems and databases
- Experience with SQL
Salary
Hiring salary range is $48,152 - $55,375
