Position Summary: The State University of New York at Cortland (SUNY Cortland) invites applications for the position of Assistant Director of Study Abroad within the International Programs Office. This role offers the opportunity to join a dedicated and collaborative team of professionals committed to advancing international educational exchange and supporting student success. SUNY Cortland’s study abroad staff manage a robust portfolio of over 40 programs in 21 countries, serving approximately 300 students annually. The Assistant Director will play a key role in coordinating part of these programs, advising students, and fostering global engagement across the campus community. The position also involves maintaining strong working relationships with SUNY Cortland’s international partners abroad to support the continued success and development of high-quality study abroad experiences. Major Responsibilities
Study Abroad Program Portfolio Management: Serve as the primary coordinator for approx. 20 study abroad programs. Advise students interested in programs within the assigned portfolio. Support faculty leaders with logistics, planning, recruitment, monitoring, crisis management, and program evaluation. Manage program webpages, applications, document collection, visa support, communications with partners abroad, budget updates, and grade processing. Review budgets across all portfolios for final approval by the Director.
Marketing and Recruitment: Develop and contribute the implementation of marketing and recruitment strategy across study abroad programs, ensuring consistent messaging and branding across all print and online materials. Create recruitment strategies that engage diverse student groups, including EOP students, PELL recipients, STEM majors, first-generation students, and athletes.
Student Outreach: Plan and implement pre-departure orientation and the Study Abroad Event Series. Coordinate office participation in campus-wide events such as Open House and New Student Orientation. Represent the office at the SUNY Study Abroad Fair Circuit.
Registration, Billing, and Grade Processing: The Assistant Director will work closely with other staff and campus offices to ensure the accuracy and efficiency of academic and administrative processes. Collect and reviewing incoming transcripts and facilitating the grade posting process. Resolve registration, billing, or grading issues in collaboration with the Director. Create the master registration list and liaising with the Registrar, Student Accounts, and Financial Aid to ensure timely course creation and student registration.
Program Assessment: Develop and implement assessment tools across semester programs and short-term faculty-led programs. Work with the Director and team to use assessment data for continuous program improvement. Participate in overseas site visits as scheduled.
Scholarship Administration: Coordinate the internal study abroad scholarship application process, including selecting faculty/staff reviewers, compiling application materials, and managing the review timeline. Prepare award recommendations for final approval and ensure timely communication with selected recipients. Manage award disbursement in collaboration with the Director and appropriate campus offices. Serve as the primary advisor for students applying to nationally competitive study abroad scholarships, including the Gilman Scholarship.
Additional Responsibilities: Participate in staff development and training initiatives. Attend professional meetings and conferences (e.g., SUNY Council on International Education (CIE), NAFSA, Forum on Education Abroad, Diversity Abroad Network) as assigned. Serve on SUNY Cortland campus committees. Supervise student assistants and peer advisors.
Functional and Supervisory Relationships: Position reports to the Director of International Programs. Oversees several student employees. Works collaboratively with all International Programs staff, as well as staff and faculty across campus.
Required Qualifications: Bachelor’s degree. At least 3 years of related professional international education experience. Previous experience advising college or university students. Experience living abroad, studying abroad, or intercultural experience. Ability to work some evenings and weekends and occasionally travel domestically and internationally. Valid driver’s license and travel documents required.
Preferred Qualifications: Master’s degree. Prior experience coordinating or managing study abroad programs, including faculty-led programs. Demonstrated experience working with diverse student populations and supporting students from a variety of cultural, academic, and socioeconomic backgrounds. Engagement in professional organizations such as NAFSA, Forum on Education Abroad, and Diversity Abroad Network. Familiarity with study abroad data and application managements systems, such as, Horizons, ViaTRM, or Terra Dotta software.
Knowledge, Skills & Abilities: Ability to work in a team environment and multitask. Excellent communication, public speaking, and writing skills. Strong technology skills with MS Office, videoconferencing, social media, etc.
