What We Are Looking For
Baylor University is seeking an Assistant to the Associate Deans. This role supports the mission of the University by providing broad, complex, and confidential administrative support primarily for the Senior Associate Dean of Research and Graduate Education, with some targeted support for the Associate Dean of Military and Veteran Partnerships, Business Officer, and the Director of Marketing, and broader events and coordination related to the functioning of the Dean's Office as needed.
A high school diploma and a year of relevant work experience are required. A Bachelor's degree and two years of relevant work experience are preferred. Additional education or experience may be considered in lieu of one another.
All applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
- Provide full range of administrative support for the Senior Associate Dean of Research and Graduate Education, with targeted administrative support for the Associate Dean of Military and Veteran Partnerships, Business Officer, and the Director of Marketing and Strategic Initiatives
- Assist with calendar coordination and preparation of files and documents, facilitating follow-up correspondence/communication, and maintaining internal records through organizing, filing, duplicating, and distribution
- Assist the Senior Associate Dean of Research and Graduate Education with research leave and internal seed funding proposals and meetings pertaining to awarding and managing these
- Assist the Senior Associate Dean of Research and Graduate Education with planning of all research related events, which can amount to 7-8 per year
- Assist the Senior Associate Dean of Research and Graduate Education with some targeted support needs related to PhD Graduate Program Directors
- Assist the Associate Dean of Military and Veteran Partnerships with travel coordination and reimbursements, Army Baylor program enrollment coordination, Army-Baylor faculty appointments, and Army-Baylor campus visits
- Assist the Business Officer and the Directors of Marketing and Strategic Initiatives with various tasks throughout the year, events, ordering and assisting their direct reports when needed
- Assist the Assistant to the Dean as needed, particularly related to college-wide events and scheduling
- Serve as point of contact on facilities matters, brokering requests to service providers; coordinate signage changes; submit work orders for repairs/remodeling; coordinate special custodial needs; serve as liaison for copy and related technology repairs
- Serve as one of the first points of contact for guests arriving in the Dean's suite
- Perform all other duties as assigned to support Baylor's mission
- Ability to comply with university policies
- Maintain regular and punctual attendance
