Starting Salary: $8,067.25 (per month)

Full Salary Range: $8,067.25 - $10,782.87 (per month)

JOB SUMMARY

The executive assistant provides exemplary administrative support to the president and the Office of the President, including working closely with college senior administrators and their support staff. The ability to craft professional correspondence and create high quality presentational materials, newsletters, and maintain websites and/or other presidential and campus communication is needed. Skilled or emerging skills in AI tools used to perform responsibilities are desired.

In addition to providing expert executive support in anticipating and meeting the needs of the president, and superior office management skills, the executive assistant uses discretion and judgment in responding to internal and external needs and requests. The executive assistant will quickly learn and work within a complex internal shared governance system that requires political acumen and planning ability. Having or gaining knowledge of external political and social influences on higher education regionally and beyond, including current events and community issues, will be helpful. Job duties will be in service to the college's mission and strategic initiatives, including assignments in collaboration with the college district's Foundation focusing on fundraising activities.

DEFINITION

Under general direction, provides executive support to the College President requiring thorough knowledge of College and District policies and procedures, and local, state, and federal regulations; manages daily operations of the President's Office; administers complex budgets, contracts, research projects, and/or programs; prepares agenda items and reports for the Board of Trustees; fosters cooperative working relationships among and acts as a liaison between the President's Office, College/District departments and divisions, intergovernmental and regulatory agencies, various public and private groups, and the general public; and performs related duties as assigned.

SUPERVISION RECEIVED AND EXERCISED

Receives general direction from the College President. Exercises no supervision of staff. May provide technical and functional direction and training to assigned staff.

EXAMPLES OF TYPICAL FUNCTIONS (Illustrative Only)

  1. Provides executive administrative support to the College President by coordinating multiple calendars, scheduling meetings, making travel arrangements, and handling sensitive and confidential information; prepares agenda items to be submitted to the Board of Trustees; and acts as a liaison between the President with the Board of Trustees, Chancellor, senior administrators, District Offices, faculty, students, and the public, coordinating resolutions to issues, problems, and complaints as appropriate.

QUALIFICATIONS

MINIMUM QUALIFICATIONS

  1. Understanding of, sensitivity to, and respect for the diverse academic, socio-economic, ethnic, religious, and cultural backgrounds, disability, and sexual orientation of community college students, faculty and staff.
  2. Any combination of training and experience which would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be: equivalent to an Associate's degree from an accredited college AND five (5) years of increasingly responsible and varied office management or administrative support experience assisting a senior-level administrator or manager.
