Associate Registrar, Loans and Exhibitions

Reporting to the Associate Director of Registration, the Associate Registrar, Loans and Exhibitions will independently organize, manage, and perform a wide variety of professional registration duties in support of the museum's Collections and Exhibitions. The Associate Registrar, Loans and Exhibitions will provide support for incoming and outgoing loans for the Cantor Arts Center as well as planning, execution, maintenance and dispersal of exhibitions. They will be responsible for training and supervising the work of assistant registrars, students, interns, and/or volunteers.

In this role, you will:

  • Perform data entry in collections management systems (EmbARK, TMS, or others) for loans and exhibitions, including creating object, creator, agent, exhibition, loan records and exhibition portfolios.
  • Prepare documentation pertaining to loans including but not limited to loan agreements, receipts, loan extensions, checklists, gallery reports, marketing and development reports, valuation reports.
  • Oversee handling, packing, movement, insurance, transportation and inspection of loans and exhibitions entering or leaving establishment, including traveling exhibitions; determine that damage or deterioration to objects has not occurred.
  • Arrange for insurance of objects on loan or special exhibition, or recommend insurance coverage on parts of or entire collection.
  • Coordinate incoming traveling exhibitions and term loans. Monitor travel, process loan documents and arrange for crating, packing, shipping and insurance; monitor objects during exhibition. Create traveling condition exhibition binder and document packing and installation instructions for venues.
  • Support processing of incoming new acquisitions and registrarial tasks associated with the permanent collection
  • May serve as a courier accompanying valuable objects of art in transit as required; supervise loading and unloading of crates at airport, borrowing museum and other venues. May oversee installation of objects at borrowing museums.
  • Coordinate light sensitive and gallery rotations. Partner with others to implement timeline, distribute checklists and gallery layouts. Generate and provide installation/de-installation checklists to preparators as scheduled.
  • Work in tandem with museum preparators to oversee the installation and deinstallation of Cantor’s galleries, ensuring proper art handling and object care, and providing documentation including photography and location reporting.
  • Attend exhibition planning meetings and assist with planning and preparation for future exhibitions.
  • Train and supervise the work of assistant registrars, students, interns, and volunteers.
  • Other duties may also be assigned

Please note that this position will be based on the Stanford campus and will be considered a hybrid role with 3 or more days/week on campus. This position may need to work extended or non-standard hours, weekends and holidays based on business needs. Occasional local and overnight travel may be required.

In order to be successful, you will bring:

  • Bachelor’s degree and five years of related experience or a combination of education and relevant experience.
  • Demonstrated commitment to fostering and supporting an inclusive environment.
  • Demonstrated knowledge of professional museum practices including registration methods, safe object handling and art preservation, packing and shipping, insurance, storage of art, security measures, and object numbering techniques.
  • Knowledge of and demonstrated skill using collection management databases, Microsoft Word and Excel
  • Understanding of database principles and prior experience with SQL, including custom reporting and data extraction.
  • Must have excellent interpersonal, organizational and communication skills.
  • Ability and willingness to maintain a high level of accuracy and attention to detail is essential, as is the ability to work well under pressure with a wide variety of museum professionals, vendors, students, docents, and others.

Physical Requirements/Working Conditions:

  • Frequently perform desk-based computer tasks, grasp lightly/fine manipulation, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Occasionally stand/walk, sit, use a telephone, writing by hand, and sort/file paperwork or parts.
  • Rarely twist/bend/stoop/squat, kneel/crawl, rarely reach/work above shoulders, operate foot and/or hand controls.
  • May work in areas with exposure to dust, paint, chemicals and other toxins.

The expected pay range for this position is $79,735 - $92,000 per annum.
