About the Role

The position of Business Analyst resides in the DMO and is responsible for supporting change at Swinburne by enhancing business outcomes through the provision of quality and innovative business analysis services. The Business Analyst role is critical to the identification of business needs and delivery of solutions that maximise value to the organisation.

The Business Analyst is responsible for planning, managing, eliciting and defining requirements, from inception through to implementation, on a variety of projects across the University. This would typically include establishing and defining the BA approach and plan, followed by the elicitation, analysis, and documentation of end to end solution requirements and acceptance criteria, as well as collaborating with other project team members to support with development, testing, UAT, operational readiness, change management and post implementation support activities. The Business Analyst will also be responsible for leading process improvement through the analysis of current state processes, the introduction of process improvements, the establishment of continuous improvement practices and the design of innovative future state processes that streamline our ways of working and drive efficiency.

The Business Analyst will also contribute to the uplift of Swinburne’s Business Analysis capability through the definition, construction and embedding of best practice Business Analysis processes, methods and techniques as part of the Project Delivery Framework.

Swinburne DMO is partnering with the business to deliver programs of work under Ad Astra strategy through investment portfolio planning, program and project delivery, portfolio and project performance measurement and the uplift of enterprise capability in projects.

This is a full-time, fixed-term position until 26 Feb 2027 at our Hawthorn campus (Hybrid).

About You

To be successful in this role, you will bring strong Business Analysis expertise and a proven track record of delivering outcomes in complex project environments.

You will demonstrate:

  • Business Analysis Expertise – A solid understanding of BA methodologies, techniques, and industry best practices, with the ability to apply them effectively across project delivery lifecycles.
  • Business Process Management – Experience applying BPM techniques, including process mapping, reengineering, and automation, to streamline operations and deliver sustainable efficiencies.
  • Project Delivery Experience – Proven experience contributing to large and complex projects, with accountability for delivering high-quality BA outcomes.
  • Requirements Management – Strong capability in understanding business needs, eliciting and documenting end-to-end requirements, and defining future-state solutions that address business challenges and opportunities. This includes producing key BA artefacts such as BA approaches, plans, and high-level, detailed, functional, and non-functional requirements.
  • Agile Delivery Experience – Experience working within Agile environments, including developing epics, user stories, and acceptance criteria, and contributing to ceremonies such as sprint planning, estimation, stand-ups, showcases, and retrospectives.
  • Tools & Systems Proficiency – Experience with industry-standard BA and project tools (e.g. Jira, Confluence, HP ALM) and strong proficiency in the Microsoft Office suite, including Excel, Word, and PowerPoint.
  • Capability & Change Enablement – A strong understanding of best practice BA frameworks and experience supporting the development, implementation, and embedding of organisational changes, including processes, standards, methods, guidelines, and tools.
  • Adaptability & Initiative – A flexible and agile mindset, with the ability to work autonomously and collaboratively while responding positively to change.
  • Stakeholder Engagement – Excellent stakeholder management and facilitation skills, with experience engaging both internal and external stakeholders.
  • Customer Focus – A commitment to building strong client relationships, acting as a trusted advisor and subject matter expert for client requirements.
  • Team Collaboration – A collaborative team player who contributes to building high-performing project delivery teams.
