OFFICIAL TITLE: Clerk IV, Department of Business Administration and Economics

General Statement of Duties: The Clerk IV serves as the primary point of contact and clerical support for the Department of Business Administration and Economics.

Responsibilities:

  • Responsible for exceptional front-line customer service; assisting students, greeting guests, answering telephones, and responding to inquiries related to the department according to established procedures.
  • Assist with the preparation of correspondence to include letters, memos, emails, and newsletters for the department.
  • Files materials in accordance with prescribed classification system, converting print files to electronic files where applicable; ensures all files are accessible and accurate.
  • Performs data entry tasks to include inputting data into Colleague, as well as pulling data from databases for reporting purposes.
  • Manages departmental student database.
  • Assists department chair with tasks including communications and budget management.
  • Prepares requisitions and purchase orders for procurement purposes, maintaining a spreadsheet of annual department purchases.
  • Receives and distributes incoming mail.
  • Assists with department event planning to include reserving rooms, ordering food, and other relevant tasks.
  • Orders and maintains office supplies, keeping Supply Room well-stocked and organized.
  • Supervises department work study students; completes and submits hiring paperwork and timesheets for student employees.
  • Maintains records of faculty attendance and submits to payroll.
  • Assists students with general pre-registration needs and questions.
  • Distributes, receives, and organizes student evaluations of faculty.
  • Stays up-to-date on training university systems such as Colleague, Blackboard/Web Advisor, Google suite, and other such related systems as they may be introduced/imitated into department administrative affairs.
  • Updates departmental website and social media pages, under direction of the department chair.
  • Maintains information on and communication with departmental advisory boards, if any.
  • Helps maintain listings and information on external organizations, companies and agencies that provide student internships, research opportunities or support for department activities.
  • Assists with organizing and scheduling departmental sponsored events.
  • Maintains departmental calendars and coordinates schedules for department meetings.
  • Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students.
  • Responsible for contributing to the WSU Strategic Plan.
  • Responsible for contributing to Equal Opportunity/Affirmative Action objectives.
  • Performs other duties as assigned within the Clerk IV classification.

Job Requirements: At least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below. Substitutions: I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience. IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience. Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed. NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience. Knowledge of the English language including spelling, word meaning, and word usage. Ability to understand and apply the laws, rules, policies and procedures governing assigned unit activities. Ability to read, write, and comprehend the English language. Ability to use proper grammar, punctuation, and spelling. Ability to follow written and oral instructions. Ability to assemble items of information in accordance with established procedures. Ability to work accurately with names, numbers, codes and/or symbols. Ability to file materials in accordance with standard filing procedures. Ability to maintain accurate records. Ability to communicate effectively in oral expression. Ability to establish and maintain harmonious working relationships with others. Ability to deal tactfully with others.

Preferred Qualifications: Strong Microsoft Office skills, including Word, Excel, PowerPoint and Access. Familiarity with Google suite of apps; Mail, Drive, Calendar etc. Ability to effectively manage multiple tasks and projects simultaneously with competing deadlines. Strong customer service skills. Experience in working in a higher education setting. Ability to work effectively and accurately in a large, busy, and active department involving multiple majors, concentrations, and graduate programs.

This is a grade 13, non-exempt, full-time (37.5 hours), benefited AFSCME position. The bi-weekly salary is $1,894.66 (annual salary is $49,261.16).
