Coordinator, Undergraduate Medical Education (College of Medicine-Phoenix)
Position Highlights
This position plays a vital role in supporting academic programs and administrative functions in the Office of Educational Affairs within Undergraduate Medical Education (UME) while supporting the Office of Academic and Faculty Affairs. The incumbent ensures compliance with LCME standards for faculty appointments, provides operational and committee support, and contributes to assessment and evaluation initiatives. This role also serves as a key administrative resource to the Senior Associate Dean for Educational Affairs.

Duties & Responsibilities
UME Faculty Affairs Support
- Coordinate with UME units to identify potential faculty members who need to apply for a faculty title as required by LCME.
- Work with faculty coordinators to advise prospective faculty of rank and track criteria.
- Assist applicants in completing the online faculty title application; follow up with applicants, as needed, for missing items.
- Work directly with faculty coordinators, as needed, to collect LORs from site directors or other UME faculty.
- Responsible for maintaining institutional and departmental data in conjunction with university and office policies and processes.
- Serve as liaison between the Office of Academic and Faculty Affairs and the UME Office; this may include collecting and maintaining how faculty are involved in UME teaching and service.
- Maintain an up-to-date teaching faculty database to ensure faculty who teach and assess students have current UA appointments.
- Assist the UA COM-P Registrar with affiliation agreements and MOUs as needed.
UME Committee Coordination
- Provide operational and administrative support to assigned committees.
- Assist committee chairs in preparing committee reports for accreditation and bylaw purposes.
- Facilitate record keeping in compliance with university, college and office guidelines and follow archival record keeping practices.
- Coordinate directly with committee chairs and members to facilitate committee meetings per bylaws.
- Work with office leadership to support annual process to fill open appointed and elected seats; help facilitate committee chair election per bylaws.
Assessment & Evaluation Support
- MyTip reporting for PRIME+ forms to track if students are meeting the requirements in the syllabus around formative assessment.
- Tracking Away rotation assessments- the challenge here is they are not UA faculty and often complete their own institution forms so we have to convert them to our form.
- Assisting in fourth year assessment reminders for electives both non-patient care and patient care.
- Assisting in third and fourth year course assessment collection.
- Assist with collection, entry, and analysis of assessment and evaluation data as assigned by the Assistant Dean for OAE and OAE director.
Administrator to the Senior Associate Dean Educational Affairs
- Coordinate calendars, schedule meetings, and prepare materials for internal and external engagements.
- Organize and support special projects and educational events, including grants, seminars, and site workshops.
- Collaborate with educational units and institutional partners on joint initiatives.
Knowledge, Skills, and Abilities:
- Ability to organize and manage administrative processes with attention to accuracy and compliance.
- Strong interpersonal skills to effectively collaborate with faculty, staff, and leadership across academic and clinical units.
- Ability to track details, maintain records, and support multiple ongoing projects and priorities.
- Basic knowledge of how to support academic committees, including scheduling meetings, preparing materials, and documenting decisions.
Minimum Qualifications
Bachelor's degree or equivalent advanced learning attained through experience required. One (1) year of relevant work experience may be required.
