Brief Summary of Work for this Position:

The Director of Conferences, Events, and Reservations is responsible for several functional areas including the Conference Services unit, the Campus Life Reservation's Office, and the Campus Life Events and Technology team. The Director directly supervises three full-time professional staff positions and indirectly supervises four other full-time professional staff and approximately 30 student employees. The Director of Conferences, Events, and Reservations is an integral member of the Campus Life (CL) Leadership team and serves in the absence of the Executive Director in cooperation with the Director of Campus Life Facilities and Business Operations and the Director of Student Involvement and Leadership.

Responsible for facilities reservations and scheduling using the Event Management Systems (EMS) system which includes daily operations of events, reservations, scheduling, planning, and billing in all Campus Life facilities. Additional responsibilities include revenue generation and billing for both internal and external clients, and developing marketing, sales, and business plans for internal events and conference services. This position also oversees technology and event production in Campus Life spaces.

Provides overall supervision for coordination of campus-wide, non-course space reservations and coordinates efforts of campus space schedulers. Serves as the main liaison to ITS for-campus EMS software integration and upgrades. Presents/reports space usage and scheduling data for campus-wide, non-course events. Assists with compliance efforts for all university, state, and federal guidelines such Minors Policy and Facility Use Policy and Procedures. Interprets and enforces policy for Campus Life facilities usage in accordance with university policies; develops Facilities Use Agreement language for internal and external clients; convenes and advises the CL Advisory Board; and advises the Executive Director and Vice Chancellor of Student Affairs regarding conferences and events business practices, potential policy changes, and strategic planning. Serves on the Academic Calendar Committee to make certain university mission driven events and conferences are not in conflict with academic calendar.

Minimum Education and Experience Requirements:

  • Bachelor's Degree in business administration, public administration, event or hospitality management or related degree
  • 3 or more years progressive leadership in student union, campus life, conferences and events, or related field
  • 2 or more years of experience supervising professional staff
  • 3 or more years of direct event and/or conference management experience
  • 3 or more years of budget management experience

Preferred Education, Knowledge, Skills & Experience:

  • Master's degree in higher education, public administration, business administration or related field
  • 5 or more years of progressive leadership in a student union, campus life, conferences and events, or related field
  • 3 or more years of experience supervising professional staff
  • 5 or more years of direct event and/or conference management experience
  • Significant experience using Event Management Systems (EMS) or similar reservations management system
  • Significant experience in leading revenue generating units including budget projection and management
