We are currently accepting applications for the position of Executive Assistant & Office Manager. This position will report to the Director of Football Operations once hired. In the interim, will report to the Associate General Manager, Football. This position will provide executive-level administrative support to the General Manager and Head Coach, while managing the day-to-day flow of the football office. This role combines traditional EA responsibilities with office management, ensuring communication, scheduling, and logistics are handled smoothly and efficiently. This is an on-site, one-year fixed-term position.
Responsibilities include:
- Manage calendars, meeting preparation, and communication for the General Manager and Head Coach.
- Serve as the first point of contact for internal and external visitors to the football office.
- Coordinate daily office operations -- supplies, meeting room logistics, mail, and internal communications.
- Manage expense reports, travel arrangements, and reimbursements for senior staff.
- Maintain organization of key documents, contracts, and program materials.
- Support HR-related workflows (timesheets, onboarding/offboarding, staff communications).
- Help coordinate office events in partnership with the DFO and Special Assistant to the Head Coach.
- Protect confidentiality and ensure smooth, professional interactions across all stakeholders.
Qualifications:
Bachelor's degree and three years of relevant experience, or a combination of education and relevant experience
- Proactive professional with strong organisational and interpersonal skills.
- Must handle sensitive information with discretion.
- Thrive in a dynamic, fast-paced team environment.

The expected pay range for this position is $39.20 to $45.56 per hour. Stanford University provides pay ranges representing its good faith estimate of the salary or hourly wage the university reasonably expects to pay for a position upon hire. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs. At Stanford University, base pay represents only one aspect of the comprehensive rewards package.
