Position Title: Financial Aid Officer
Classification: Manager 2 - Administration

Work Schedule: This regular, full-time administration position will work Monday through Friday, variable between 8:00 a.m. to 5:00 p.m. or 9:00 a.m. to 6:00 p.m., with flexible, extended, and/or weekend hours for outreach activities and peak times. Regular on-campus presence is expected for all KCC employees. Any flexible and/or hybrid work schedules are subject for review, approval, and/or change based on the needs of the College.
Position Summary
Responsible for verifying, packaging, and awarding financial aid and use of professional judgement in granting appeals for continuing/additional aid. This position is the primary processor for Free Application for Federal Student Financial Aid (FAFSA) verification and awarding. Responsible for external scholarship resources received for students. Adhering to federal and state deadlines, this position monitors various federal and state programs, including the Federal Pell Grant and William D. Ford Direct Student Loan programs. Acts as the Certifying Official for the College relative to the Veterans Administration program and assist support staff in front desk coverage when needed. Conducts advising for incoming and current students related to financial aid process. Provide decision making and supervisory authority as needed.
This position is designated as the Colleges School Certifying Official (SCO) for Veterans Education Benefits and manages the private Scholarships program. It is the responsibility of this position to manage these programs from initial identification through registration, certification of benefits (VA), billing, reconciliation of accounts, verification of established requirements to maintain eligibility, and reporting of grades through the graduation process (VA). The individuals are available to meet with and assist veterans (eligible dependents) and scholarship recipients to assist them in navigating the VA process and/or scholarship process, in addition to making referrals for other services. The officer also processes FAFSA applications from submittal to awarding and monitoring, advises students, as well as assists with satisfactory academic progress (SAP) appeals and Professional Judgment appeals.
Provides managerial support to the department in the absence of the Director and Assistant Director.

Minimum Qualifications
- Successful completion of Bachelor's degree obtained from an accredited college or university or equitable years of experience working directly in Financial Aid.
- Proficient with Microsoft Office, most especially Excel.
- Database management skills, data entry skills, and an understanding of systems such as Colleague, PeopleSoft, or Banner.
- One to two (1-2) years of experience working in a financial aid, finance, or accounting-related position.
- Ability to interpret federal, state, institutional, and private laws, rules, and regulations and apply this knowledge to a variety of situations.
Proposed Salary
According to the Kellogg Community College Hay Administrative Compensation program, the 2025-2026 annual salary range for a Manager 2 position, $55,594 to $69,491 to start.
Job Duties
Essential Function: FINANCIAL AID PROCESSING
- Review and verify student FAFSA application for awarding federal, institutional, and state aid using regulatory guidelines and limitations, including SAP and Professional Judgment appeals.
- Records are monitored regularly for over award situations and coordination of aid.
Essential Function: MANAGEMENT SUPPORT
- Provide management support in absence of Director and Assistant Director.
- Cross-trained to provide direct support to State of Michigan programs and assist in transmittal and reconciliation using various internal and external systems.
Essential Function: COMMUNITY OUTREACH AND ADVISING
- Represent the College to current and prospective students, their families, high school counselors and institutional employees in all aspects of the student aid process.
- Conduct financial aid presentations within the community, high schools, and to various groups within the institution as required.
- Provide one-on-one and group advising as appropriate.
Essential Function: AGENCY, SCHOLARSHIP MANAGEMENT AND VETERANS EDUCATION BENEFITS
- Award, manage, monitor and reconcile all private, institutional, and sponsored scholarship students ensuring compliance with each student and award.
- Work with Business Office in preparing billings and reconciliation of billings for all scholarships.
- Serve as designated VA Certifying Official (and back-up official).
- Work with auditor to ensure compliance for VA benefits.
