GENERAL PURPOSE: Under the direction of the Fitness and Wellness Coordinator & Fitness and Wellness Supervisor, the Fitness & Wellness Program Assistant will assist with the administration and coordination of a comprehensive fitness and instructional class program. They will assist with recruiting, hiring, training, scheduling, evaluating, and supervising all fitness and instructional class staff. This individual helps to ensure the diverse instructional needs of the San Diego State University students and Aztec Recreation members are met with broad-based, comprehensive Fitness, Wellness, and ENS Credit Class programming, emphasizing a safe, positive, and educational environment. The Fitness & Wellness Program Assistant will help develop, establish, administer, and evaluate all Fitness, Wellness, and ENS Credit Class schedules and instructors.

ESSENTIAL DUTIES & RESPONSIBILITIES

Primary Functions

  • Assists with recruitment, interviewing, and hiring of instructors
  • Assists with completing evaluations of instructors and classes each semester
  • Coordinates and programs the Fitness, Wellness, and ENS Credit Class schedule on a semester basis
  • Monitors payroll on a bi-weekly basis
  • Ensures all instructors maintain relevant certifications
  • Plans and conducts staff meetings on a semester basis
  • Disseminates necessary information to staff
  • Uses Virtual EMS to reserve facilities for activities, classes, and events
  • Uses Virtual CMS to input class schedules and programming on website
  • Uses Fusion to create Fitness, Wellness, and ENS Credit Classes and input class details for participant registration
  • Designs and distributes program survey on a semester basis and compile data
  • Ensures customer service standards are met; responds to physical, virtual, and verbal member comment cards in a timely manner
  • Develops programming for special events and open houses, such as ALI and ARC 'til Dark welcome events
  • Records Wellness and ENS Credit Class equipment inventory on an annual basis
  • Monitors class participation and attendance
  • Schedules instructors to conduct special event programming
  • Collaborates with the marketing department to plan and execute promotional photography and videography of program offerings
  • Ensures all class cancellations are communicated promptly by contacting all participants/instructors along with posting notifications in the appropriate areas
  • Ensures facilities and equipment are safe to use; submits a repair work order if needed
  • Performs body-composition assessments and educates members on standard physical activity guidelines
  • Develops and coordinates virtual fitness and wellness content
  • Performs other duties as assigned

Customer Service and Collaboration

  • Establishes and maintains working relationships with various A.S. and University departments
  • Greet all customers in a timely manner
  • Answers the phone and interacts politely and courteously
  • Assists all customers with questions and/or comments
  • If unable to assist, refers customer to someone who can
  • Maintains positive and effective working relationships with all customers
  • Informs supervisor of any customer issues

Safety

  • Ensures all operations are conducted with safety of staff and customers as first priority, and in accordance with the Injury and Illness Prevention Plan and other safety policies
  • Adheres to Associated Students' Code of Safe Practices
  • Reports accidents to supervisor and reviews changes required to avoid reoccurrence Ensures completion proper documentation is completed for each accident (employee and/or non-employee) and forwards to supervisor
  • Reports maintenance problems and/or broken and unsafe equipment to the appropriate party immediately

QUALIFICATIONS

Minimum & Preferred Requirements

Education:

  • Bachelor's Degree required
  • Preferred in Physical Education, Recreation, Kinesiology/Exercise Science Health or a related field
  • Acceptance to an SDSU graduate degree program preferred

Experience:

  • One year of group fitness class instruction experience required
  • Previous experience in a management/leadership position supervising instructors preferred
  • Experience within a campus recreation setting desired

License & Certification:

  • Applicants must possess at least one of the following nationally recognized group fitness certifications, from the American College of Sports Medicine (ACSM), the Aerobics and Fitness Association of America (AFAA), the American Council on Exercise (ACE), the National Strength and Conditioning Association (NSCA), National Academy of Sports Medicine (NASM) or an equivalent certification.
  • American Red Cross First Aid and CPR/AED certifications are required

Trainings:

  • Computer Security (must be completed with 30 days of hire)
  • Anti-Harassment training (must be completed with 30 days of hire)
  • Workplace Violence Prevention Plan Training (Must be completed within 30 days of hire)
  • Gender Awareness Training (Must be completed with 30 days of hire)

KNOWLEDGE, SKILLS & ABILITIES

  • Ability to handle difficult situations involving participants with patience, good judgment, and with diplomacy is expected
  • Ability to work with a diverse group of people effectively and diplomatically
  • Must have strong English language skills and the ability to read, write and verbally communicate at a level appropriate to the duties of the position
  • Must possess excellent customer service skills, including written and oral communication
  • Proficient computer skills are required
  • Ability to recruit, train, and supervise personnel
  • Ability to prioritize workload
  • Ability to manage information flow (including internal, external and customer communication and filing/documentation)
  • Ability to develop positive working relationships and work effectively with other employees/departments
  • Ability to demonstrate thoroughness, completeness, follow through on presentation and appearance of work

SCHEDULE & WORKING CONDITIONS

This is a part-time position. Must be available to work a maximum 20 hours a week during academic year and summer. Employee schedules vary according to business needs. Must be able to work evenings and weekends based on program demands.

General office environment. Work is generally sedentary in nature, but may require standing and walking around campus. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment with standard office equipment available and in recreation environment with standard gym and audio equipment. Possible exposure to distracting/uncomfortable noise levels may require hearing protection to be worn when performing duties.

PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

This position requires the individual to spend long hours sitting and using office equipment and computers. This person will also spend time filing and have to do some lifting of supplies and materials from time to time, including banker boxes and files.

Physical requirements include but are not limited to: walking, walking over rough or uneven surfaces, bending, stooping, climbing, and working in confined space, lifting, pushing, pulling and carrying loads up to 50 pounds (unassisted) and 75 pounds (with assistance). Work may require standing and moving for extended periods.

RELATIONSHIPS

  • Reports to the Fitness and Wellness Coordinator and the Fitness and Wellness Supervisor in the absence of the Coordinator
  • Closely works with the Marketing Coordinator, Instructors, and Office Supervisor.
  • Further interactions may include other full-time staff within Aztec Recreation, including, but not limited to, Recreation Director, Associate Director, Facilities Manager, Member Services Supervisor and Manager, Operations Coordinator, Building Services Engineers, Evening Member Services Supervisor, Outdoor Programs Supervisor, Competitive Sports Supervisor, photographer, and videographer

EMPLOYMENT CATEGORY: Starting range $22/hour

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with Associated Students. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current Associated Students employees who apply for the position.

Fingerprinting is required for all employee and volunteer positions that have direct contact with minor children and/or supervise other staff.

MVR and DMV record review is required for positions that drive university vehicles and/or passengers for program related trips.
