Human Resources Coordinator
Job Description
Reporting to the HR Director, the HR Coordinator provides support to the HR Business Partners and Assistant Director, HRIS and acts as a liaison, with other team members, to assigned departments, supplying a wide range of support services. This role will work closely with the HR Director and the Assistant Director, HRIS on key initiatives including payroll processes, ServiceNow workflow management, and data reporting. The person in this role supports the HR team’s strategic priorities and is an active contributor to the high-performing service delivery team. This is a collaborative team - with active sharing of information, problem solving, and brainstorming on system/procedure changes.
As a HR Coordinator, you will:
- Serve as team resource for all HR policies, processes, and systems documentation; manage SharePoint, organize and maintain employee records, and participate in file audits and archiving.
- Serve as a HR data processing expert on all HR transactions for existing staff. Submit job data changes via PeopleSoft.
- Support processing of multiple payrolls for support staff, administrative/professional staff, fellows (EE), student workers, and all other temporary employees. Generate and analyze standard reports for all payrolls from a variety of systems.
- Create custom reports for HR Business Partners and departments related to PeopleSoft data and HR metrics to support decision-making and operational needs.
- Audit weekly payroll, time entry, and transactions reports.
- Serve as approver for off cycle and supplemental payments.
- Manage and optimize ServiceNow processes and workflows to improve HR service delivery efficiency.
- Assist with processing I9s and Quick Hires.
- Partner with Assistant Director, HRIS, on personnel processes and of multiple systems including ServiceNow, PeopleSoft, Qlikview, MIDAS.
- Prepare and process layoff and separation documentation in accordance with Harvard, State, and Federal Law and is responsible for coordinating final payouts.
- Provide backup to other administrative team members as necessary.
Qualifications
Basic Qualifications
5 or more years of experience in human resources, payroll, office administration, or related field. Education beyond high school may count toward experience.
Additional Qualifications and Skills
We are looking for people who have:
- Bachelor's degree a plus.
- Familiarity with PeopleSoft and payroll systems.
- Keen attention to detail and the ability to handle confidential information discreetly.
- A working knowledge and proficiency of Microsoft Office, especially Excel.
- ServiceNow experience or willingness to learn ServiceNow processes and workflow management.
- Strong analytical skills with experience creating reports and analyzing data to support business operations.
- Excellent customer service along with the verbal and written communication skills necessary to document and present work outcomes and deliverables.
- A strong teamwork orientation with the ability to organize/prioritize work, manage multiple tasks and projects, and function effectively as a self-directed leader of a range of initiatives.
Additional Information
Standard Hours/Schedule: 35 hours per week; Full-Time M-F

Work Format Details
This is a position that is based at a Harvard campus location with some remote work options available. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
Salary Grade and Ranges
