Office Specialist
Job Summary
Under minimal supervision, work consists of performing responsible, department specific office and clerical duties of a routine and moderately complex nature requiring independent research, exercise of judgment and detailed knowledge of department and/or institutional procedures related to the work performed. Work may include maintaining department database bases, records and files, collecting and interpreting data for inclusion in reports, and assisting in monitoring department budgets. May serve in a lead role to Office Associates and Office Assistants.
Responsibilities
The responsibilities include, but are not limited to:
- Provide administrative support to department physicians, APPs, and fellows, maintaining research education portfolios, managing schedules, completing travel paperwork, and ensuring completion of all university and medical center required paperwork.
- Answers all incoming patient phone calls, relays messages to providers, assists with managing schedules for clinic. Works with clinic nurses to ensure all patient paperwork is returned and clinic schedule is correct.
- Provides backup administrative support for all department sections.
- Coordinates patient appointment times with the call center, contacts patients and referring physician offices with test results, visit notes, completes patient paperwork for FMLA, return to work, disability, etc. Calls all patients before clinic visits to confirm appointments and remind of needed paperwork or pre-visit testing.
- Fellowship coordination for Vascular Neurology Fellows.
- Provide coordination and credentialing for REACH which includes 26 hospital affiliations and 8 physicians.
- Other duties as assigned.
Required Qualifications
High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization with a minimum of three years of progressively responsible office support experience.
OR
Associate's degree from an accredited college or university in a related field.
Preferred Qualifications
Previous experience with Neurology patients.

Be attentive, detailed, perform duties accurately and team oriented
Ability to multi-task and knowledge of modern office equipment
Shift/Salary/Benefits
Shift: Days/M-F
Pay Band: B3
Salary Range: $16.54/hourly - $17.49/hourly
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.

Conditions of Employment
