Administrative Coordinator
Rutgers, The State University of New Jersey is seeking an Administrative Coordinator for the Honors College.
Among the key duties of the position are the following:
- Provides administrative and programmatic support to the Honors College by coordinating programs, projects, and processes and assisting in the implementation of operations.
- Facilitates communication with departments and divisions across the University and helps arrange events and meetings.
- Uses Cornerstone applications to serve as the primary preparer for financial and HR matters, including procurement, expense reports, and onboarding.
- Oversees the Federal Work-Study Program and supervises student workers.
- Enters all time and labor information for hourly positions.
- Schedules departmental meetings and provides calendar and general administrative support for the Honors College administrative team and deans.
- Serves as the front-facing representative of the College office by overseeing walk-in visitors and first-level student interactions.
- Responds to general requests and concerns and refers detailed requests or concerns to appropriate staff when warranted.
- Contributes to the maintenance of content on the College website based on interactions and inquiries.
- Provides clerical and administrative support to the faculty fellows of the College's mission-based courses.
- Serves as the Honors College contact for the Office of Scheduling and Space Management and uses Course Atlas to schedule classrooms and equipment.
- Provides accurate guidance and information regarding the Honors College to prospective and current students and directs inquiries to the appropriate staff when necessary.
- Assists in tracking and maintaining relationships with donors and prospective donors.
- Logs Honors College student submissions for scholarships, events, advising, capstones, and related activities.
- Serves as the central point of contact for notifications and the distribution of responses and assists with the general honors college inbox as needed.
- Assists with building operations as needed.
Minimum Education and Experience:
- Bachelor's degree in a related field from an accredited institution, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping, and/or report writing principles and practices.
- Two years of relevant experience in an administrative function.
Equipment Utilized: Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
Physical Demands and Work Environment: This position will require to lift 25 lbs., event set-up/tear-down such as moving folding chairs. This position will require to take responsibility for certain office and common area facilities.
