Program Coordinator, Vehicle-to-Everything Pooled Fund Study
Job Summary
The Program Coordinator supports Director Kim by managing meetings, events, documentation, and stakeholder communication for a multistate transportation program. The role coordinates agendas, logistics, and reporting; plans biannual demonstrations and workshops; and oversees budgets, contracts, and financial tracking in alignment with FHWA and university guidelines. The position prepares monthly and federal reports, maintains centralized records, and serves as the primary liaison for 20+ state, federal, and university partners. Overall, this role provides essential project management support to harmonize nationwide efforts, coordinate technical events, synthesize monitoring reports, and ensure deliverables align with project budgets. This is a 100% contract-funded position and continuation of employment is dependent upon continued funding.
This is a fully remote position. The incumbent must reside and work in the states of Georgia or South Carolina.
Employment is contingent upon funding.
Responsibilities
- Coordinate and manage all meeting agendas, attendance rosters, materials, and logistics for inperson and virtual meetings
- Serve as the primary liaison for partner agencies, coordinating communications, meetings, and timely information exchange
- Collaborate regularly with the Program Director and crossagency teams to align priorities and ensure coordinated program execution
- Oversee meeting technology setup, registration, minutetaking, and postmeeting documentation within established timelines
- Plan and execute biannual demonstrations, workshops, and conferences with federal, state, and institutional partners
- Prepare monthly project status reports summarizing milestones, financial progress, and deliverables
- Maintain financial tracking tools, reconciliation logs, and monthly or quarterly budget reports
- Support pre and postaward processes in alignment with FHWA and Georgia Southern University procurement guidelines
- Track and reconcile subaward budgets, invoices, and financial documentation for assigned projects
- Ensure onsite event operations meet safety, compliance, and stakeholder requirements
- Manage event budgets, contracts, venue procurement, vendor coordination, and travel arrangements

Proposed Salary
$45,000 - $48,000
This is an exempt position paid on a monthly basis.
