Records Specialist

Position Summary

Rutgers School of Health Professions (SHP) is seeking a Records Specialist to work in the Dean's Office Administration.

Under the direction of the Assistant Registrar, the Records Specialist is responsible for maintaining student records, verifying and sending out student certifications, transcripts and assisting with any registration related activities. The Records Specialist also provides frontline services for the Registrar's Office by assisting with the office's day-to-day operations and providing excellent customer service through problem resolution and outreach for a wide audience.

Essential Duties and Responsibilities

  • Processes enrollment verifications, licensing certifications and responds to any National Student Clearinghouse verification errors.
  • Guides and informs students of registration and withdrawal procedures, deadlines, and forms by utilizing online services and working with faculty, when appropriate.
  • Processes student transcripts.
  • Provides frontline customer service to students and alumni in the Enrollment Services Center.
  • Processes transfer credit evaluations.
  • Assists with the tracking and notification of the students' enrollment status.
  • Distributes and collects class rosters to and from faculty for attendance verification.
  • Assists with registrar related tasks for new student orientation related activities.
  • Projects a professional image through in-person and phone interaction with staff, faculty and students on multiple campuses.
  • Maintains knowledge of standard registrar functions (registration, grading, and graduation) and abides by all FERPA regulations.
  • Provides support for general student assistance and other projects as assigned.
  • Understands and adheres to Rutgers' compliance standards as they appear in RBHS's Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
  • Performs other related duties as assigned.

Minimum Education and Experience

  • Associate's Degree with two (2) years of experience in a records/registration office is required.

  • Standing, sitting, walking, talking or hearing.
  • No special vision requirements.
  • Ability to lift up to ten (10) pounds.

Work Environment

  • Office environment. Moderate noise.
