About the Role

We’re looking for multiple customer focused Student HQ Administrators who enjoy supporting people and take pride in delivering high quality service to students, staff and the wider community.

The Student HQ Administrator is central to the student experience, providing trusted advice and assistance across key student and library services. As the first point of contact for students, staff and the general public, this role supports a broad range of student and library enquiries, including enrolment, timetabling, fees and payments, ID cards, and library services.

You’ll respond to enquiries across multiple channels—face to face, phone, email, live chat and social media—while maintaining accurate records in the University’s systems. Flexibility is key, with opportunities to work across campuses and contribute to all Student HQ activities to ensure a seamless and positive student experience.

This is a full-time, ongoing role.

About You

To be suitable for this role you will need to have experience in the below key accountabilities:

  • Deliver a customer focused service that considers stakeholder needs in all processes and practices and in accordance with organisational expectations.
  • Assist customers with locating, booking and using library resources and equipment.
  • Work closely and collaboratively with team members, or independently as required, on all aspects of the team’s responsibilities such as:
  • Provide assistance and advice to the entire Swinburne student cohort, staff and the general public face-to-face, via phone (inbound and outbound), via email, social media channels and via live-chat on matters relating to library services, student lifecycle and general enquiries.
  • Effective and accurate library processing related to overdue, lost and missing library materials
  • Assisting students to complete online applications for courses including ensuring any compliance requirements are covered
  • Provide support with special projects as delegated and directed by your supervisor.
  • Provide outstanding customer service always and ensure the unit’s Service Commitment and Enquiry Protocols are always followed – Service Commitment
  • Assist in developing and implementing high quality processes that document, assess, improve and deliver services in accordance with standards
