Position Summary:

Lenoir-Rhyne University is seeking a detail-oriented, highly organized, systems-thinker to join our team as a Student Record Specialist. The Student Record Specialist plays a key role in supporting the academic success of our students and ensures the accurate maintenance of academic records. The Student Record Specialist is responsible for a range of essential duties, including processing forms, assisting with student transfer evaluations and degree audits, and stellar student service.

Reporting

The Student Record Specialist reports to the University Registrar.

Essential Duties and Responsibilities

The Student Record Specialist has the following specific job functions:

  • Academic Policy Compliance: Maintain a strong commitment to the integrity, accuracy, and security of all student data in accordance with FERPA guidelines. Stay informed about and ensure compliance with university academic policies and curriculum.
  • Degree Audits: Collaborate with the Transfer and Graduation Coordinator (TGC) to produce degree audits for students, ensuring they meet graduation requirements.
  • Graduation Clearance: Assist the TGC with the graduation clearance process across multiple staff, including reviewing applications, awarding degrees, and producing diplomas.
  • Transfer Evaluations: Assist the TGC to provide timely transfer evaluations for new and current students.
  • Student Forms Processing: Serve as the primary processor for all student-submitted forms, including but not limited to Program Change, Course Add Drop, and FERPA Disclosure.
  • Faculty Forms Processing: Serve as the primary processor for all faculty-submitted forms, including but not limited to Course Offering Change, Grade Change, and Manual Registration.
  • Communication and Support: Serve as a resource for students, faculty, and staff regarding academic policies, transfer evaluations, audit information and other academic matters. Respond to inquiries, provide guidance, and resolve issues effectively and professionally.
  • Technology and Systems: Utilize the student information system (SIS) (currently PowerCampus), Microsoft Office Suite, curriculum audit software (currently implementing Stellic), and other relevant software to manage student records, generate reports, and maintain accurate data. Assist University Registrar in accurately maintaining the online course catalogs (Acalog), self-service system (myLR), and the public-facing office website.
  • Serve on university committees and perform other duties as assigned.

Required Qualifications

  • Bachelor’s degree.
  • Proficient computer and technical skills, including Microsoft Office Suite or related software.
  • Excellent verbal and written communication skills, with experience working with individuals at all levels of the university.
  • Strong interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Effective problem-solving ability and organizational skills.
  • Excellent time management skills to handle multiple tasks and deadlines effectively.
  • Great attention to detail and accuracy in managing student records.
  • Ability to occasionally work outside normal business hours, such as during campus events or preregistration.
  • Demonstrates ability to build positive relationships among diverse faculty, staff and students.
  • Demonstrates initiative, creativity and the ability to work well independently and in a team, and ability to manage multiple responsibilities concurrently.

Preferred Qualifications

  • Bachelor’s degree in a relevant field such as education, administration or a related discipline.
  • Experience in a Registrar’s Office or other related college academic administration office.
  • Understanding of degree audit systems (Stellic) and academic catalog software (Acalog).
  • Familiarity with academic policies, procedures and regulations governing higher education institutions.
