JOB SUMMARY:
Under general supervision provides administrative support to the Office of the Registrar. Responsible for the coordination of all processes for graduation and commencement ceremonies. Responsible for knowledge and interpretation of degree requirements as stated in multiple university catalogs, as well as University policies and procedures. Responsible for assisting with maintaining and updating DegreeWorks, the University degree evaluation system.
Essential Duties Summary
- Creates and maintains list of eligible students for graduation. Prepares and disseminates all information related to graduation. Notifies potential graduates of application procedures.
- Verifies and provides letters for potential employers for students who are expected to meet degree requirements for the current semester.
- Responsible for commencement ceremony preparation, including preparing and proofing list of graduates for commencement program, ordering signs, ticketing, preparing diploma covers, providing lists to all faculty and assigning rooms for graduates.
- Responsible for clearing students, checking grades, posting degrees and academic distinction each semester to the integrated student information system (Banner). Prepares and distributes Final Graduation and Ranking Lists.
- Utilizes scanning database to scan and index graduation documentation.
- Responds to requests for information such as number of university graduates and degrees earned.
- Oversees printing of diplomas. Responsible for verifying, processing, proofing, and mailing all diplomas, includes processing requests for duplicate diplomas.
- Completes application for Be on Time Loans and Tuition Rebates.
- Responsible for degree evaluation and planning system (DegreeWorks) ensuring accuracy of programs and scribing.
- Communicates with curriculum coordinator to ensure all changes are incorporated into the degree evaluation system each academic year regarding new courses and programs ensuring that all updates have been incorporated into DegreeWorks.
- Responsible for ensuring service excellence to all University stakeholders.
- Requires detailed knowledge and familiarity of all university policies and procedures.
- Serves on various university committees.
- Contributes to the effective team management of all relevant problems, issues, and opportunities.

Education
Required:
Bachelor’s degree (B.A. or B.S.) or higher.
Preferred:
Master’s degree.
Required Licensing/Certification

Knowledge, Skills, and Abilities
Knowledge of:
- Policies, procedures, and practices.
- DegreeWorks curriculum software.
- University catalog interpretation.
- Microsoft Office Professional or similar application.
Skill in:

Ability to:
- Monitor work for accurate information.
- Ability to maintain the security or integrity of critical infrastructure, which may include communication systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment or water treatment system.
Work Experience
- Two (2) years directly related job experience in higher education.
- Previous experience in the Registrar’s office is preferred.
- 3 years of experience with Banner student information system preferred.
- Experience with catalog software and DegreeWorks programming preferred.
Working/Environmental Conditions
- Routine office environment.
- Sitting or standing in one location much of the time.
- Use of video display terminal.
