Admin Events Specialist (HEOa) - (Program Development, Student Engagement & Communications), Office of the Arts, Division of the Provost Office.

POSITION DETAILS

The Arts Events and Communications Specialist provides support in planning and promoting arts-related programs and events that engage students and the campus community. This role assists with coordinating event logistics, managing communication efforts, and helping to connect students with arts opportunities. The Specialist reports to the Dir of the Office Arts, works closely with campus departments, student groups, and external partners to ensure smooth execution of events and effective outreach.

Responsibilities include but are not limited to the following:

  • Arrange arts-related events, including seminars, guest lectures, workshops, and student activities.
  • Secure and coordinate event logistics such as reserving rooms, organizing equipment, and managing event materials.
  • Supervise setup and breakdown of events, including equipment and catering needs.
  • Supervise volunteers or student workers during events.
  • Keep records of event expenses and assist in preparing basic reports on event outcomes.
  • Communicate with campus departments and partners to support event planning and execution.
  • Produce and contribute to the development of promotional materials for arts programs and events.
  • Update and maintain the Office of the Arts website, social media pages, and newsletter.
  • Assist in creating and sharing digital content such as flyers, posters, and posts.
  • Manage ticketing and outreach for student outings and arts events to encourage participation.
  • Work with campus teams to promote events and increase awareness.
  • Assist in organizing and promoting student-focused events, such as meet-ups, guest talks, and workshops.
  • Coordinate ticketing and communications for student outings.
  • Support students in accessing arts programs and activities.
  • Accompany student groups to events when needed and encourage participation.
  • Support the development of arts programs, curricula, and guidelines as needed.
  • Collaborate with faculty, staff, and partners to help monitor program participation and feedback.
  • Perform other related tasks to assist the Office of the Arts.

QUALIFICATIONS

  • Bachelor’s degree in Arts Administration, Communications, or a related field preferred and four years of related experience.
  • Previous experience in college event support, communications, or arts programming helpful.
  • Good organizational skills and attention to detail.
  • Basic knowledge of social media and digital communication tools.
  • Strong team player with good communication skills.
  • Ability to handle multiple tasks and work well with others.

CUNY TITLE OVERVIEW

Plans and manages special events, seminars, and conference services programs.

  • Works collaboratively with campus departments and executives, student groups, and outside organizations to develop and plan special events and programs.
  • Plans event logistics and secures contracts and agreements.
  • May coordinate reservations and availability of internal campus facilities.
  • Creates and executes event communications, including invitations, agendas, and marketing information.
  • Coordinates services related to events (i.e., equipment, catering, audio-visual requirements, media coverage). May hire and supervise staff assigned to event.
  • Creates fiscal records and reports; evaluates overall event success and reports to management.
  • Maintains ongoing communications with campus departments involved in events planning and execution.
  • Performs related duties as assigned.

COMPENSATION AND BENEFITS

Salary commensurate with education and experience, within approved range $57,252 -$61,831.
