Administrative Assistant I - Arts & Sciences - Biology
Position Summary
Full time position works as the face of the department, answering the main line, directing visitors to appropriate offices and providing efficient effective support to internal and external university faculty requests. On campus work presence is expected most or all the time. This is a 10 month position. June and July are off months.
Job Description
Primary Duties & Responsibilities:
- Answers phone and greets visitors; responds to inquiries and provides information using established guidelines or refer to appropriate individual.
- Types correspondence and forms; scans and faxes documents, makes copies, maintains files (electronic and hard).
- Receives, sorts and distributes mail.
- Schedules routine appointments, maintains office/department calendars and makes routine travel arrangements. Prepares travel expense reimbursement according to guidelines.
- Performs basic data entry such as invoices and purchase orders; track purchases/receipts and process for payment. Enters personnel/payroll information in HR system.
- Monitors, maintains and stocks office, toner, paper and miscellaneous supplies as needed.
- Maintains/updates contact information, directories, departmental lists, email lists, databases and website.
- Compiles applications; provides applicant information to faculty; sends correspondence to applicants; answers general questions on program/course.
- Performs other duties as assigned.
Working Conditions:
Job Location/Working Conditions: Normal office environment, Ability to travel to various on- and off-campus locations. Physical Effort: Typically working at desk or table, Walking substantial distances, Unloading supplies from vehicles, bending, stooping, Pushing cart, Repetitive wrist, hand or finger movement, Occasional lifting (25 - 50 lbs). Salary Range
$17.87 - $27.06 / Hourly. The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
