About the opportunity

Join the NHMRC Clinical Trials Centre at the University of Sydney as an Administrative Assistant and play a key role in supporting the smooth day-to-day operations of a nationally recognised clinical trials environment.

Working under routine supervision, you will provide efficient and effective administrative and clerical support to the designated work area. You will act as a first point of contact, manage the flow of information, maintain accurate records, and use your sound procedural knowledge and judgement to ensure tasks are completed to a high standard.

This role offers the opportunity to build strong organisational capability in a professional and collaborative team, contributing to operational excellence within a research-focused environment. You will plan and prioritise your work to meet deadlines, resolve routine operational matters, and provide advice and support that contributes to the overall effectiveness of the Centre.

Your key responsibilities will be to:

  • Provide quality administrative and operational support to ensure the smooth day-to-day functioning of the work area.
  • Respond to enquiries and correspondence, preparing accurate and timely advice and solutions using sound knowledge of processes and systems, and seeking further advice as necessary.
  • Provide high-level, comprehensive administrative support in relation to diary, travel, communications and event coordination for the team.
  • Gather and organise data from a range of sources to update databases and systems, and compile reports, charts and documentation to support operational activities.
  • Administer purchasing, payments and invoice processing in accordance with University policies and procedures.
  • Liaise with internal stakeholders and external suppliers to support facilities coordination and contribute to a clean, safe and well-maintained working environment.
  • Develop and maintain productive working relationships across the University.
  • Other work activities relevant to the role's key accountabilities as approved by the Manager and commensurate with the role's classification level, including participation in special projects and other broader operational activities as required.

About you

  • Certificate III, Certificate IV, Diploma or Advanced Diploma in a relevant field, or an equivalent combination of relevant training and experience.
  • Demonstrated experience in business administration within a busy and complex work environment.
  • Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
  • High level of computer literacy, including proficiency in the Microsoft Office suite.
  • Sound numeracy skills and attention to detail to support financial and data-related tasks.
  • Well-developed communication and interpersonal skills, with the ability to work collaboratively within a team and build effective working relationships.
